Scope of Job:
Responsible for coordinating registrar functions including, but not limited to, analyzing student records, processing student record requests, verifying and maintaining student records, coordinating related communications, and requesting and analyzing reports associated with compliance matters. Identifies and resolves complex problems associated with student and class data.
Description of Duties:
- Interprets and applies academic policies and procedures to student records.
- Submits enrollment reports for state and federal compliance.
- Analyzes student records data to ensure integrity of students' majors and graduation records.
- Coordinates and monitors end-of-term processes related to grading, repeated classes, academic standings and degree posting.
- Coordinates and monitors start-of-term processes related to registration, attendance verification, drop processes, and reinstatements.
- Assists office leadership with coordination of strategic student and faculty communications.
- Assists with registration set-ups, course inventory updates and class scheduling processes as needed.
- Reconciles data via recurring and ongoing data reconciliation projects based on requested reports to achieve greater data integrity across all elements of students' academic records,
- Monitors enrollment processes including withdrawals to ensure compliance with state and federal rules.
- Proactively identifies problems and concerns, proposes solutions, and implements appropriate changes in partnership with supervisors and colleagues.
- Identifies opportunities for process improvements and supports the implementation strategically and timely through partnerships with stakeholders.
- Leverages opportunities to evaluate business processes along with student enrollment data to achieve greater data integrity and adheres to institutional, state, and federal regulations.
- Develops and maintains office policies and procedures, as well as detailed instructional desk manuals.
- Provides training and support to peers in the office and Student Service Centers.
- Communicates and enforces institutional academic policies and ensures that exceptions to policy are appropriately approved and documented.
- Develops, cultivates, and maintains positive working relationships with faculty members, advisors, Strategic Enrollment partners, and students.
- Exercises independent judgment and authority as required and appropriate while enforcing UTRGV academic policies and procedures.
- Provides reports and status updates to Associate Registrar and University Registrar as requested.
- Assists with commencement ceremonies.
- Assists with recruitment events as needed.
- Performs other duties as assigned.
Supervision Received:
General supervision from Assistant Registrar, Associate University Registrar or assigned supervisor.
Supervision Given:
May supervise assigned support staff.
Required Education:
Bachelor’s degree from an accredited university.
Preferred Education:
None.
Licenses/Certifications:
None.
Required Experience:
Three (3) years of experience in student admissions, student records or related environment, or demonstrated experience with data analysis, data validation, and problem resolution.
Preferred Experience:
None.
Equipment:
Use of standard office equipment. Knowledge of student information system, preferably Banner, from Ellucian, preferred.
Working Conditions:
Needs to be able to successfully perform all required duties. Office Environment; some travel and weekend work is required.
Other:
Exceptional planning and organizational skills. Ability to interact in a professional manner with faculty, staff, students, and the public. Excellent verbal and written communication skills, demonstrate interpersonal skills, and independent decision making and problem solving ability.
