Summary
Extended Studies Academic Outreach | High School Programs is an
auxiliary unit that operates to extend the resources of the
university to the community and beyond by providing highquality
undergraduate and graduate courses for traditional and
non-traditional students, as well as credit and non-credit
professional and personal development experiences.
The Academic Services Professional is the primary customer service
specialist to provide information and problem solving for internal
and external audiences regarding a variety of courses/programs
offered through Extended Studies Academic Outreach | High School
Programs. This position provides operational support by utilizing
various University systems.
The Academic Services Professional assists in managing the
Noncredit programs and provides operational support for the High
School Programs. In addition, this position serves as the primary
HR and Financials Liaison for Extended Studies Academic Outreach
department.
Essential Functions
The duties and responsibilities of the position include, but are
not limited to:
10% Customer Service
- Assist faculty, staff, students, parents and all customers via
phone and email who are seeking information regarding Extended
Studies Academic Outreach | High School Programs.
30% Operational Support
- Manage day-to-day operational office support and contributes to
the vision of Extended Studies Academic Outreach department, which
provides support for auxiliary courses/programs operated by the
colleges and other campus departments.
- Responsible for accurate data entry of Course Information
Sheets (CIS) for Extended Studies Academic Outreach courses,
resolves suspended and duplicate applications, generates grade
rosters, inputs grades, registrations, drops/withdrawals, utilizes
system reports in CU-SIS and other University systems as
needed.
- Communicate and actively engages with Admissions and Records
teams regarding application and course scheduling processes to
ensure all associated tasks are following University
protocol.
- Communicate with campus departments, regarding procedures and
policies for scheduling Extended Studies Academic Outreach courses
in CU-SIS.
- Serve on University and community committees as deemed
necessary to accomplish the vision of Extended Studies Academic
Outreach initiatives.
20% Extended Studies Program Support
- Assist in managing noncredit CEU courses
- Collaborate with campus departments and others to develop,
implement and advertise noncredit courses.
- Update and improve enrollment instructions and websites for
noncredit programs.
20% High School Program Support
- Assist in managing high school programs
- Communicate with administrators, parents, students regarding
program options
- Update and improve enrollment instructions and websites for
high school programs.
10% Human Resources Support
- HR Liaison for Extended Studies Academic Outreach programs.
Creates and processes Letters of Offer, Scope of Work contracts and
Person of Interest forms as needed to pay/activate instructors for
various Extended Studies Academic Outreach programs.
- Responsible for accurate data entry in the HCM or PSC system
for payments.
- Attends HR Liaison meetings/updates to ensure all University
procedures are followed to efficiently pay individuals who perform
services for Extended Studies Academic Outreach programs.
10% Financial & Procurement Support
- Manages all Procurement Services tasks such as: pcard
reconciliation, office supply ordering, creating SPOs and other
forms of payment of expenses as needed through CU MarketPlace and
Concur Travel system.
- Assists with Financial tasks such as Creating Journal
Entries.
- Attends Financial Liaison meetings/updates to ensure all
University Procedures are followed for Extended Studies Academic
Outreach programs.

monthly depending on work expectations. Please estimate percentage
of time based on typical workload.

Qualifications :
- A Bachelor's degree from an accredited institution of higher
education is required.(Substitution: A combination of education and
related experience may be considered in lieu of a degree on a year
for year basis)
- Must have experience working in a university, college or high
school setting.
- Must have experience with detailed data entry is required.
- Experience in course/program management in a revenue generating
environment is required.
