Responsibilities
This position assists the Academic Program Specialists with all aspects of the academic and administrative support needed for the Department of Chemistry & Biochemistry, as well as undergraduate- and graduate-related activities, including, but not limited to management of courses, course resources, academic records, and administrative support.
General Duties Include:
- Maintaining undergraduate records.
- Assisting students with enrollment, registration, and dropping/adding courses.
- Assisting with undergraduate and graduate events.
- Providing data regarding course offerings, enrollment, facility availability/utilization, and other special requests as necessary for department members.
- Scheduling courses in both the Course Schedule Master and Ad Astra.
- Administering all DIS information for course creation and enrollment.
- Planning and preparing documents for events.
- Managing and updating enrollment at individual and course levels.
- Assisting in identifying and correcting registration errors.
Collaborative Duties Include:
- Assisting the Student Affairs Office with special projects, reports, surveys, and data-gathering.
- Working with the Sr. Academic Program Specialist and Committee for Undergraduate Teaching Excellence in regard to Large Lecture Hall Requests and structure of course offerings.
- Tracking course enrollment and providing information to the Committee for Undergraduate Teaching Excellence.
- Assisting the Graduate Program Coordinator with event-planning and preparations for Graduate Visitation Weekends and Orientations.
- Acting as a liaison between department faculty and publisher representatives to acquire and maintain instructor copies of course resources.
- Performing prerequisite/co-requisite checks with the advising team.
Other Responsibilities:
- Assisting with data for students applying for departmental scholarships.
- Serving as the Chemistry & Biochemistry department's initial contact for parents, students, staff, and faculty.
- Managing internal course waitlists.
- Identifying and entering all textbook and course resource materials.
- Assisting faculty with grade submissions; processing and tracking grade-change forms.
- Assisting with directing Work Study employees with tasks.
- Serving as a backup notary for the department.
Qualifications
High school diploma or equivalent and two years of experience. (Note: post high-school education and/or experience may substitute at a comparable rate.)
Preferred Qualifications
The ideal candidate for this position is someone with excellent customer service skills who is able to establish and maintain effective working relationships. This individual would excel at prioritizing, organizing, and performing multiple work assignments simultaneously, and would perform accurately in a detail-oriented environment.
Other preferred qualities include the ability to:
- Interpret academic program requirements and provide advice.
- Understand the academic resources available to students.
- Effectively document existing and new processes.
- Utilize relevant computer applications and demonstrate basic computer skills.
- Effectively communicate verbally and via writing.
- Understand, interpret, and apply related University policies, procedures, principles, and practices.
- Apply problem-solving skills towards tasks.

Anticipated Salary Range
The minimum starting salary for this position is $34,520, commensurate with experience and education.
