Accounting Assistant
Job Summary
The Accounting Assistant plays a key role in maintaining accurate financial records by analyzing and entering financial data. They handle customer billing, accounts receivable, and other accounting tasks while ensuring data consistency. Key responsibilities include managing the general ledger, preparing financial statements, and verifying transactions like invoices and journal entries. The role also involves reconciling accounts and performing calculations using spreadsheets and software tools. A basic knowledge of bookkeeping and accounting principles is essential.
Responsibilities
- Verify and reconcile daily sales reports, cash drawers, and financial records, resolving discrepancies as needed
- Manage cash operations, including daily deposits, safe balances, petty cash, and seasonal cash requirements
- Track and balance cash flows, update revenue spreadsheets, and report monthly totals to the Business Manager
- Oversee vendor invoice reconciliations and maintain accurate accounting records within established systems
- Prepare and process client invoices, payments, and deposits, while resolving billing discrepancies and monitoring outstanding invoices
- Maintain accurate financial records by auditing files, entering revenue and expenses, and preparing financial reports for month-end and year-end
- Support project costing, forecast future revenue and expenses, and provide recommendations for cost savings and strategic changes
- Manage customer billing, accounts receivable/payable, and other accounting functions for assigned campuses
- Implement and update procedures, ensuring staff are informed of changes and supervisors are kept apprised of financial status
Required Qualifications
Educational Requirements: High School Diploma or equivalent. Required Experience: Two (2) or more years of experience in accounting.
Knowledge, Skills, & Abilities
ABILITIES: Consistently exhibit engaging customer service; Ability to support various constituencies served by the University; Proven proficiency with computers including Microsoft Office, Google, and/or applications as required; Ability to communicate financial data to supervisors, clients and non-accounting clients; Ability to operate a ten-key calculator. KNOWLEDGE: Adhere to University policies and procedures; Working knowledge of accounting procedures and principles and computerized systems. SKILLS: Effective communication (verbal and written), organizational and human relations skills; Demonstrated excellence in balancing and managing accounts.
