Animal Services plays a critical role in supporting world-class research across UNSW and affiliated organisations. As an Administration Officer, you will contribute to the smooth and effective operation of animal research facilities by delivering high-quality administrative and financial support.

Reporting to the Animal Services Director, this role supports staff and researchers through a broad range of administrative, financial, and operational activities, ensuring compliance, efficiency, and service excellence.

Key Responsibilities

  • Coordinate and manage administrative systems, processes, and reporting within Animal Services
  • Develop and maintain procedures, providing expert advice on administrative guidelines and practices
  • Support implementation of policies and ensure effective operational compliance
  • Act as a key point of contact for internal and external stakeholders, ensuring service delivery meets demand
  • Oversee financial administration including purchasing, expense processing, reconciliations, and billing
  • Provide secretariat support to committees and meetings
  • Support delivery of Division-wide projects, initiatives, and ad hoc programs
  • Monitor budgets and ensure timely, accurate financial processing
  • Facilitate procurement and asset management in line with UNSW policies
  • Maintain compliance-related data systems (e.g., animal ethics, WHS, restricted substances)

Skills and Experience Required

You are a proactive and detail-oriented administrator with strong organisational skills and the ability to manage competing priorities in a dynamic environment. You bring:

  • A relevant tertiary qualification or equivalent experience
  • Demonstrated experience in financial and administrative functions (preferably in a university or similar environment)
  • Excellent communication and stakeholder engagement skills
  • Strong time management and problem-solving abilities
  • Advanced proficiency in Microsoft Office and administrative systems
  • Sound numeracy skills and ability to interpret financial information
  • A commitment to customer service excellence and continuous improvement
  • An understanding of health & safety responsibilities and UNSW values
