Administration Officer
- TC Beirne School of Law based in the Faculty of Business, Economics and Law (BEL)
- Full-time (100%), fixed-term position for up to 12 months
- Base salary will be in the range $82,133.75 - $91,295.49 + 17% Superannuation (HEW Level 5)
- Based at our St Lucia Campus
About This Opportunity
We are seeking a motivated, energetic and organised Administration Officer to support the effective and efficient operations of the Law School.
Reporting to the School Manager, you will be responsible for delivering a wide range of administrative processes to support the School's operational needs.
Key responsibilities will include:
- Provide a high-level of administrative support to the School Manager to assist with the operational requirements of the School
- Function as the initial point of contact for enquiries relating to financial administration support within the School and advises on local budgetary matters
- Provide guidance and support to academic staff regarding UQ Policy and School Guidelines
- Organise the office financials, for example managing billing, purchase orders, reimbursements, processing of claims for scholarships, and other expenses according to University financial policy and procedures
- Assist with travel coordination, for example lodging travel requests, booking flights and accommodation
- Assist with the School’s asset register, procurement of equipment, and storage requirements
- Assist with the administration and the distribution of the School’s Law Journal
- Competently utilise a range of desktop-based programs and management information systems
- Liaise with internal and external stakeholders to maintain relationships which support the operational outcomes for the School
- Develop and maintain standard operating procedures for the effective and efficient functioning of the School's operations
- Any other duties as reasonably directed by your supervisor.
About You
- A degree or diploma with subsequent relevant experience or financial administrative experience or an equivalent combination of relevant experience and/or education training
- Demonstrated skills in providing a high level of customer service, including effective interpersonal skills
- Demonstrated high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint and Outlook)
- Demonstrated knowledge of University administrative systems, policies and procedures or the capacity to rapidly acquire this knowledge
- High level of accuracy and attention to detail
- Ability to work independently and as part of a team
- Demonstrated ability to set own priorities, monitor work processes, manage time appropriately, meet regular deadlines, initiate and take follow up action
