Description
Reporting to the Director of Finance and Operations, the Administrative and Facilities Assistant provides administrative, operational, and facilities support to the Office of Research and Strategic Partnerships and the Institute's research facility. The position supports the day-to-day operations of the research office and research spaces by coordinating administrative processes, managing facility logistics, assisting with meeting and event logistics, maintaining organized and functional research environments, and supporting research activities across the Institute.
The Administrative and Facilities Assistant serves as a point of contact for faculty, staff, students, and visitors, providing professional relationship building and responding to routine inquiries regarding facility use, scheduling, and administrative processes. The position plays a key role in fostering a welcoming, organized, and collaborative environment that supports research, innovation, and external engagement.
This position will be based at Pratt's Research Yard at the Brooklyn Navy Yard. This is an in-person position with 3 days at the Research Yard expected, up to 15 hours per week.
Examples of Duties
Administrative Support
- Provide general administrative support to the research office, including answering inquiries, monitoring shared email accounts, and directing requests to appropriate staff.
- Schedule meetings, reserve conference rooms, prepare meeting materials, and coordinate calendars.
- Maintain electronic and paper filing systems in accordance with record retention requirements.
- Process purchasing requests, expense reimbursements, invoices, and other administrative transactions.
- Track office supplies and coordinate purchasing to maintain adequate inventory.
Research Yard Operations
- Coordinate room reservations, facility scheduling, and event logistics.
- Prepare meeting rooms, event spaces, and shared work areas for daily use.
- Conduct routine inspections of common areas to ensure spaces remain organized, functional, and presentable.
- Coordinate access requests, key/card access, visitor check-in, and building logistics.
- Report maintenance, custodial, safety, and building issues to Pratt and Brooklyn Navy Yard facilities contacts and monitor resolution.
- Monitor shared spaces to ensure adherence to facility policies and report concerns to supervisors.
Facilities Coordination
- Assist with logistics for workshops, research events, exhibitions, community programs, and external meetings.
- Arrange room setups, catering, audiovisual equipment, signage, and visitor accommodations.
- Coordinate deliveries, shipments, and receiving for the Research Yard
Other Duties
- Perform other administrative and operational duties as assigned.
Qualifications
Education: Associate's degree or equivalent combination of education and experience.
Experience:
- One to three years of administrative or facilities support experience, preferably in higher education, research, nonprofit, or similar environments.
- Experience using scheduling, purchasing, or facilities management software is preferred.
Skills:
- Excellent written and verbal communication skills.
- Excellent organization, planning, interpersonal, and networking skills.
- Detail-oriented, with the ability to prioritize and execute multiple tasks simultaneously, meet deadlines, creatively resolve problems, and work in a fast-paced environment.
- Ability to interact in a professional manner with all levels of faculty, staff, outside groups and a wide range of constituencies in a diverse community. Demonstrated intercultural competence with an understanding of the importance of diversity in higher education.
- Strong knowledge of digital productivity and collaboration tools, including: MS Word, PowerPoint, and Google Suite and Asana.
- Ability to work independently and take a proactive approach.

Supplemental Information
The salary is an hourly rate and commensurate with qualifications and experience. This is a part-time, grant-funded position, contingent upon funding availability.
