Administrative and Program Support

Position Summary

The individual in this position provides both administrative and program support to the program instructors and director at The Center for Trades and Energy Training. It requires strong administrative, computer, and people skills, and collaborative communication with continuing education staff and the Continuing Education and Workforce Development (CEWD) Operations department to deliver high quality continuing education courses.

Reports to: Director Trades and Energy Training

Work schedule: Monday - Thursday from 2:30 pm to 9:00 pm

Position is open until filled.

Specific Duties and Responsibilities

Essential Functions:

  • Serves as department point of contact with students, instructors, other departments, vendors, and public during the evening hours. Provides callers/visitors with accurate data.
  • Assists in the management/delivery of department administrative and logistical functions necessary to support instructors during evening classes, including the facilitation of technical support services, copying, collection of grade/attendance reports and class surveys.
  • Reviews and updates inventory management tracking and materials orders to improve department efficiency related to program supply inventories and classroom material needs.
  • Assists program director with course materials tracking and obtaining new materials for use in training programs.
  • Maintains list of instructors contact information in department database
  • Assists with maintaining office files including instructor files, textbook adoption, college forms.
  • Advises new part-time faculty of department policies and procedures. Maintains copies of master syllabi.
  • Verifies semester schedule with instructors and program director.

Additional Duties:

  • Performs other related work as required.

Minimum Education and Training

  • Associate of Arts degree and/or 3-5 years of office experience and training equipment/supplies management in skilled trades industries.

Minimum Qualifications and Standards Required

Knowledge, Skills and Abilities:

  • Required knowledge, skills and abilities: accounting and budgeting,
  • Proficiency in Microsoft Office Suite programs, internet, email, and scheduling tools.
  • Accuracy and attention to detail are required.
  • Excellent communication, interpersonal, and organizational skills.
  • Must be able to work independently.

Physical Requirements:
The work is light work which requires exerting up to 20 pounds of force occasionally and/or up to 10 pounds of force to move objects.
