Position Summary
This Administrative Support position serves as the first point of contact for students, faculty, staff, and visitors while providing professional communication and organizational support to the political science, math and Africana Studies departments. Responsibilities include managing budgets, scheduling, maintaining student records, supporting faculty with academic and administrative tasks, and supervising student workers. The schedule for this position is 8:00 a.m. to 4:30 p.m., Monday through Friday, in the Moffett Center building.

Major Responsibilities
Administrative Support
- Serve as the first point of contact for students, faculty, staff and campus visitors coming to the departments or communicating via phone or email. The position requires a high degree of professionalism, courtesy, and patience, and an ability to interact with persons of diverse stations and backgrounds.
- Track departmental budgets and ordering supplies.
- Schedule meetings, reserve meeting space.
- Sort and distribute departmental mail.
- Complete word processing tasks such as memoranda, reports, correspondence, work orders, travel vouchers and other documents.
Student Support
- Maintain student academic records, process forms, prepare graduation checklists, update advisor lists.
- Assist with student registration issues including the use of Banner to access student records and lift permission flags.
- Train and supervise work study students assigned to the departments.
Faculty Support
- Assist chairs with catalog review, annual reports, course scheduling, tracking grade submission and other duties.
- Assist with faculty recruitment as needed.
- Keep minutes of department meetings.
Professional Development
- Attending training workshops as needed to maintain proficiency in the use of software systems including Banner, Microsoft Word, Outlook, Explorer (or equivalent web browser), the SUNY budget system, the online hiring system, and other software as appropriate.
Functional and Supervisory Relationships
Reports directly to the chairs of the three departments. Works closely with other faculty and staff in the departments. Interacts with personnel in other campus offices as needed.
One of the three department chairs will be designated as the primary supervisor, who will conduct annual performance evaluations in consultation with the other two chairs.
