Administrative Assistant 3
Job Summary
This position performs responsible administrative and secretarial duties of a complex and confidential nature in support of the Dean to relieve supervisor of varied clerical and administrative responsibilities.
Responsibilities
The duties include, but are not limited to:
- COLLEGE SUPPORT: Serve as primary point of contact for the Dean's office; greet visitors and screen calls and mail. Compose routine correspondence, format and type documents, proofread and edit draft material, determine priority of incoming material and route to appropriate personnel. Assisting the Dean in handling confidential matters related to faculty, staff, and/or students. Maintaining Dean's and Associate Dean's calendars and scheduling meetings when appropriate. Assisting in planning and coordinating college programs and special events. Contacting vendors to service/repair or purchase new office equipment, as needed. Serve as an assistant to the Guard House Museum and Center for Social Science Research (i.e. marketing and planning, making purchases, scheduling meetings and events, reimbursements.
- STUDENT SUPPORT: Support Assisting with student suspensions, reinstatements, and academic dishonesty processes.
- FACULTY SUPPORT: Coordinating and collecting materials for faculty appointments and coordinating with other colleges/departments as appropriate. Handling assignments that require a thorough knowledge of the college and institutional policies and procedures. Preparing materials for presentations and distributing them throughout the college.
- OTHER DUTIES: Perform all other job-related duties as assigned.
Required Qualifications
Bachelor's degree from an accredited college or university and two years of progressively responsible administrative support experience, OR Associate's degree from an accredited college or university and five years of directly applicable experience, OR High School Diploma, GED from a recognized State or Federal accrediting organization and eight years of directly applicable experience.
Preferred Qualifications
Exemplary interpersonal skills and the ability to maintain a professional work environment. Ability to manage multiple projects while supervising student employees, answering phone and business process. Design experience to assist with creating flyers and programs for events. Graphic Design experience to assist with creating flyers and programs for events.
Knowledge, Skills, & Abilities
KNOWLEDGE
Proficient in Microsoft Office and other computer software/databases. Exhibits professional code of ethics.
SKILLS
Excellent interpersonal, verbal, and written communication skills. Detail-oriented. Demonstrated project management skills. Demonstrated team experience.
ABILITIES
Ability to maintain confidentiality. Ability to respond to sensitive inquiries.
