Administrative Assistant 4 - Continuing Education Department

Job Description

Great Basin College is recruiting for an Administrative Assistant 4 for the Continuing Education department. This position provides comprehensive administrative support to Continuing Education, its staff, students, instructors, and partners. Duties include student advisement and registration for CDL A and non-academic career training programs, entering and maintaining course data, website maintenance, purchasing, and student support services for over 300 online and in-person classes, including driver education for teens. Contract training support includes preparing class materials, MOUs, certificates, and invoicing. Tracks departmental financials and maintains record keeping. Responsible for tracking, responding to queries, and preparing pay for campus-wide summer term.

Required Qualifications

• This position requires graduation from high school or equivalent education and four (4) years of progressively responsible relevant work experience which included experience in one or more of the following areas: providing administrative/program support to professional staff and management; performing secretarial duties in support of a manager; coordinating communications between the manager, staff and program clientele; supervision of subordinate staff; researching information from internal and external sources; OR
• One (1) year of experience as an Administrative Assistant III in Nevada State service; OR
• An equivalent combination of education and experience as described above

Preferred Qualifications

Applicants with experience in the following are encouraged to apply:

• Administrative experience in higher education setting.
• Ability to effectively communicate by phone, email, or in-person.
• Ability to manage multiple projects with competing schedules and deadlines.
• Intermediate experience using social media platforms for marketing and outreach.
• Intermediate experience using Microsoft Word and Microsoft Excel.
• Customer service.

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; Infrequent evening or weekend work, this is subject to change based on organizational needs. This position may require traveling up to 25% of the time.

Compensation Grade

Grade 29

In classified service, salary is in Grade and Step. The Step is determined based on the Nevada Administrative Code. Salary placement above a Step 01 at initial appointment is determined based on the recruitment, the candidate's qualifications, internal equity and budgets. A request to accelerate salary must be approved by Human Resources and abide by the Nevada Administrative Code.

Classified Staff Grant-In-Aid Benefit

Great Basin College is proud to provide a reduced-rate tuition benefit to Classified employees and their eligible dependents. Classified employees can take up to six credits per semester at a reduced rate. Dependents of Classified staff have unlimited credits at Great Basin College, but in order to be eligible children must be unmarried and under the age of 24 and must receive at least 50% of their financial support from the employee and/or employee's spouse or domestic partner.
