Administrative Assistant, Career & Experiential Learning
Under the direction of the Executive Director of Career & Experiential Learning, the Administrative Assistant is the first point of contact for customers including students, faculty and staff, employers, alumni and parents. The Administrative Assistant (AA) is responsible for the coordination of overall office support functions for Career & Experiential Learning.
Essential Functions:
1. Reception/Front Desk Functions
- Provide exceptional customer service to all visitors and callers, screening and prioritizing inquiries;
- Respond to requests for information from students, alumni, parents, employers, faculty, staff, and off-campus constituents via email, phone, mail, and in person;
- Manage "drop-in" services, ensuring visitors receive prompt assistance or referral to the appropriate staff member;
- Follow up on inquiries and messages in a timely and professional manner;
- Assist students and alumni in navigating Handshake and other career resources;
- Provide support to employers recruiting Curry students, serving as a point of contact and resource;
- Maintain and organize career-related resources, including job/internship postings, study abroad information, and graduate school materials;
- Oversee upkeep of the Collaboration Space and ensure resources are accessible and well-stocked;
- Hire, train, and supervise student workers and interns;
- Maintain office files, equipment (copiers, printers, etc.), and general office organization;
- Order, track, and inventory office and event supplies to ensure availability;
- Process financial paperwork, including check requisitions and purchase orders, in compliance with college policies.
2. Data Entry and Technical Support:
- Support the office with administering surveys and collecting data on events, student utilization, and additional office activity. Prepare data for reports as needed;
- Provide data entry of information into excel and other software systems;
- Utilize Handshake to approve employers and jobs, generate reports, create correspondence to students and event registration pages;
- Provide support, as needed, to the Career Advisors, with collecting and researching student placement post-graduation through outreach and social media research and data entry.
3. Event Management and Marketing
- Lead the logistical efforts associated with large scale CXL events such as career fairs and the Curry Commitment Program;
- Collaborate with campus partners to leverage data to enhance marketing of the College, academic programs, and CXL to support recruitment, retention, and branding efforts;
- Support the Associate Director for Employer relations in the coordination of employer recruitment efforts and events on and off campus, including on-campus recruiting, employer info-sessions, coffee chats, and career fairs;
- Coordinate CXL participation in college functions such as Admissions Open House, Accepted Students Day, Orientation, and other events;
- Serve as the general marketing and communications coordinator and lead the design and development of marketing materials for the office.
4. Administrative Functions:
- Assist students in the on-campus employment search process and act as the main point of contact in the office for this program;
- Assist with maintaining department events and staff activities calendars, managing travel arrangements and setting up meetings;
- Manage various social media channels; provide updates, promote, and market events and services offered, and disseminate relevant content using professional judgment;
- Manage the evaluation, design and ongoing improvements of office processes, procedures, and forms to improve operating efficiency;
- Assist with documenting policies and procedures, writing operations manuals for the office, etc.;
- Take notes at meetings as needed; Contribute to team effort by assisting with special projects and additional tasks as needed;
- Make phone calls and follow-up with constituents as needed;
- Research information as needed.
Additional Functions:
- Respect and maintain confidentiality, parameters of operation, professional protocols, and individual privacy;
- Perform other related duties as assigned by the Associate Director and/or Executive Director.
Priority consideration will be given to applications received by October 8. However, applications will continue to be reviewed on a rolling basis until the position is filled.
Job Requirements:

Minimum Qualifications:
- Associate's degree required;
- At least two years of experience in customer service and office administration;
- Proficiency in office management skills, including filing, phone support, scheduling, and organization, with strong attention to detail;
- Strong writing, interpersonal, and communication skills to work effectively with diverse individuals;
- Demonstrated proficiency with Microsoft Office Suite and other standard office software;
- Ability to manage multiple tasks, set priorities, meet deadlines, and consistently follow up and follow through on assignments.
Preferred Qualifications:
- Bachelor's degree in a related field;
- Experience in marketing, event planning, or related areas; skills in social media, graphic design, or communications are highly desirable;
- Familiarity with databases and career platforms, particularly Handshake;
- Prior experience working with college students or in a higher education setting.
Hourly Rate:
$19.00 to $21.00
