Hollins University in Roanoke, Virginia is seeking qualified candidates for the position of Administrative Assistant for the Dean of Students Office.
About the Role
The administrative assistant plays a crucial role in ensuring the efficient daily operations of the Dean of Students office, serving as the first point of contact for students, faculty, staff, and visitors. Reporting to the Dean of Students and supervising 2-3 student employees, this position provides administrative, logistical, and operational support to the dean and other Student Success, Well-Being, and Belonging (SSWBB) staff.
Specific duties include the following:
- Serve as the primary point of contact for the Dean of Students Office greeting visitors, answering phone calls, replying to general e-mails, and responding to inquiries from students, parents, faculty, and staff.
- Provide administrative support to the Dean of Students including calendar management, scheduling meetings, and preparing electronic and print communications.
- Schedule, train, supervise, and evaluate student workers in the Dean of Students Office.
- Manage and maintain records, files, and databases related to SSWBB and university policies.
- Assist with planning and coordinating student programs, events, and activities in collaboration with SSWBB staff.
- Process paperwork related to student conduct, housing, and other student services while ensuring accuracy and compliance with university policies.
- Support the preparation of communications, presentations, and reports for the Dean of Students Office.
- Maintain presence for office social media accounts.
- Assist in managing budgets and process invoices, reimbursements, and purchase orders.
- Handle internal and external mail.
- Maintain office supplies and handle office equipment issues, ensuring necessary materials are available for staff and events.
Position Qualifications
Successful applicants must have the following qualifications and experience:
- High school diploma or equivalent
- Minimum of two years of relevant experience
- Proficiency with Microsoft Office
- Experience with social media
- Excellent written and verbal communication, interpersonal, and customer service skills
- Excellent organizational, time management, multitasking, detail, and accuracy skills
- Abilities to work in a fast-paced environment with constant interruptions and fluctuating priorities and to meet deadlines
- Abilities to work independently, as a member of a team, and without supervision at times
- Ability to work effectively with all university constituencies including students and their families, faculty, staff, alumnae/i, and campus guests
- Abilities to manage confidential and sensitive information and maintain discretion
- Ability and willingness to occasionally work outside normal business hours in support of office/division activities
Preferred candidates will have the following:
- Two years of college
- Administrative assistant experience in higher education or student services setting
- Ellucian Banner or equivalent database experience
- Familiarity with database management
- Valid United States driver’s license with minimal violations
