JOB SUMMARY: This position supports the Gustavus Annual Fund team by managing fundraising database operations, prep for large-scale mailings, and support of our signature events to ensure smooth and effective engagement. This role oversees reporting and budget reconciliation and will manage email communications. The position requires strong organizational skills, attention to detail, and the ability to balance multiple priorities while contributing to a collaborative and positive office environment.
Employment Type: Full-Time (1.0 FTE), Non-Exempt (Hourly), and Benefits-Eligible
Pay Range: $18.00-$20.00 per hour
MAIN RESPONSIBILITIES:
- Provide general office support for the Annual Fund team, including answering phones, office coverage, and ensuring smooth daily operations.
- Provide comprehensive fundraising database support, including generating donor lists, creating reports, and managing email campaigns.
- Handle large-scale mailing projects for both the Annual Fund and affinity groups, including mail merges and coordination of print and delivery.
- Manage email communications by prepping and sending large emails for the Annual Fund.
- Manage the process and training with cross campus-departments on using the Square device, including processing of gifts and pledges, daily balancing, reporting, and checkout.
- Track and report on all gifts and pledges by appeal, ensuring accurate financial records.
- Assist the Advancement team with data-related tasks, including data entry, maintenance, and retrieval.
- Manage the requests of Annual Fund materials as needed, including submitting job requests and utilizing Web2Print.
- Oversee the Annual Fund budget, handling reconciliations, interdepartmental transfers, and workflow management.
- Supervise student employees, as assigned.
- Assist with signature events such as: Give to Gustavus Day, Affinity giving events, Homecoming, Senior Class Social, Reunion Weekend, and our summer Athletic golf events.
- Prepare and mail gratitude cards and note cards, as needed, to class officers and donors.
- All other duties as assigned.
Prerequisites
MINIMUM QUALIFICATIONS:
- High school diploma or equivalent
- Two+ years of general office experience
- Strong computer skills, including proficiency with Microsoft Office Suite and Google Workspace; ability to learn and adapt to new software quickly
- Strong written and verbal communication skills
- Must maintain confidentiality and handle sensitive information with professionalism
- Demonstrated ability to work both independently and collaboratively in a team environment
- Complete a high volume of work accurately and on time, demonstrating strong attention to detail
