Administrative Assistant
Description
The Administrative Assistant serves as the first point of contact for the Student Success Center and provides high-level administrative support primarily to the Director. The administrative assistant will also assist up to 5 advisors at a time, taking messages, checking schedules, and scheduling appointments as needed. Additionally, Student Success will have contact with disability services and maintain any information shared with or from disability services in a safe and confidential manner. This position plays a critical role in ensuring the efficient operation of the Center through effective communication, organization, and customer service. Administrative assistants must be able to display effective communication via direct messaging, emails, and in person.
Examples of Duties
- Answer the main phone line for the Student Success Center, provide exceptional customer service, and relay accurate messages to the Director and staff as needed.
- Greet and sign in all students using the Navigate360 platform to ensure accurate tracking of center usage.
- Provide administrative support to the Director, including managing correspondence, typing documents, conducting information research, and maintaining organized filing systems.
- Draft, proofread, and format professional memos and letters on behalf of the Director.
- Schedule meetings and appointments and maintain the Director’s calendar with attention to detail and confidentiality. May also schedule and reschedule for advisors as needed.
- Perform word processing tasks such as formatting, editing, and finalizing complex documents for staff use.
- Assist with general office duties to support the smooth daily operations of the Student Success Center.
- Other professional and administrative duties as needed; to include but not limited to the delivery of documentation and setting up for special events.
Typical Qualifications
- High school diploma or equivalent required; associate’s degree or administrative training preferred.
- 2+ years of administrative support experience, preferably in a higher education environment.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and ability to quickly learn platforms such as Navigate360, HU Experience, and other platforms to assist student/ staff engagement.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Professional and friendly demeanor with a strong customer service orientation.

- Must be willing to work in a typical office setting and university environment and be able to have a respectful and caring demeanor while having professional boundaries with students.
- Must understand the occasional requirement to attend university events or extended hours based on the academic calendar.
