Position Summary
The Administrative Assistant will support the Office of the Dean, the Office of International Business Programs, the Office of Graduate Business Programs, and the Office of the Graduate Computer Science Programs, and students of the Harrison College of Business and Computing. Examples of support include managing budget accounts, maintaining electronic files, scheduling meetings, assisting with travel arrangements, and organizing college events.
Primary Responsibilities
- Provides full administrative support to the Director of the International Business Programs, the Director of the Graduate Business Programs, and the Coordinator of the Graduate Computer Science Programs.
- Greet visitors, answer phone lines, schedule campus visits, and provide quality customer service to constituencies
- Calculate, record, balance, and monitor monthly income, expenditures, and account transfers
- Process purchase requisitions and invoice payments
- Complete bookkeeping requirements related to faculty, staff, student professional development and travel
- Maintain various department mailing lists
- Maintain all department inventory (hardware, software, and supplies)
- Compose and produce letters, memos, and reports
- Maintain and organize department and student files, both paper and electronic
- Schedule appointments, meetings, make reservations, and travel arrangements
- Correspond with current and prospective students
- Help maintain the department's web page and social media presence
- Supervise, maintain and coordinate student computer lab assistants and organize the flow of work through the office
Required Qualifications
- High school diploma or GED
- Proficiency in Microsoft Word and Excel
- Demonstrated complete administrative skills, including excellent interpersonal, verbal, and written communication skills
- Demonstrated ability to create and maintain a professional office setting
- Excellent organizational and time management skills
- Demonstrated ability to handle multiple tasks with frequent interruptions
- Demonstrated ability to work independently with minimal supervision and exercise initiative
- Demonstrated ability to learn different and new technologies
- Demonstrated ability to handle situations with sensitivity, tact, and in a confidential manner
- Ability to work in a team environment
- Previous work experience that indicates a high degree of accuracy and attention to detail
- Knowledge of budget management and financial reporting
- Demonstrated experience and understanding of customer service
