Position Summary: Entails a variety of secretarial duties and provides support in the handling of Division office traffic flow and paperwork. Primarily responsible for processing all Divisional book/manual orders, clinical evaluation forms, grades, payroll, purchasing and travel. Uses several computer programs to generate, edit, and process documents and other correspondence necessary for Divisional operation. The Division serves over 4,500 students, and over 100 full-time and part-time faculty annually.
Supervisory Responsibility: None; however, provides direction and occasional task assignments to work study students.
Minimum Requirements:
- Associates Degree or equivalent experience in Office Information Systems, Office Management, or Medical Office Management or knowledge and work experience equivalent to that normally acquired through completion of an Associates Degree. (For screening purposes, at least four years of Administrative Assistant experience is an accepted substitute for an Assoc. Degree).
- At least two years of administrative support work experience including payroll and purchasing functions, preferably in a medical office, health care setting or health career programs in a higher educational setting.
- Excellent written and oral communication skills.
- Experience working with the standard office productivity software and electronic communication tools, including Microsoft Word, Excel, Access PowerPoint, Google Suite and Zoom.
- Able to respond to students, faculty, staff and visitors in a timely and tactful manner. Strong follow-through and follow-up skills; must be tactfully and diplomatically assertive.
- Demonstrated time management and priority setting skills. Ability to be multi-task oriented, highly organized, detailed-oriented and able to work in a stressful, hectic environment; self-motivated.
- Demonstrated work history of providing high quality, strong customer-oriented services including “can do”, problem-solving orientation; strong listening skills; ability to understand and meet customers needs.
- Demonstrated work history of coordinating work effort with others and working effectively with others in a team setting. Willing to help out, assist co-workers; “we” orientation of cooperation.
- Demonstrated willingness to accept accountability for ownership of work, job and office operations.
- Demonstrated ability to efficiently organize, retrieve and manage large amounts of data, information and files. Demonstrated past experience accurately managing similar volume and complexity of data, files and detailed information.
- Excellent judgment skills in terms of interpersonal communications; ability to determine the appropriate approach and then employ a wide diversity of interpersonal strategies that results in timely action by others not under this persons supervision; able to adapt to a variety of work situations and personalities.
Additional Desirable Qualifications:
- Two years experience in customer service.
- Ability to appropriately use and demonstrate proficiency at the Intermediate level in Access & Power Point.
Physical Requirements/Working Conditions:
- Must be able to remain in a stationary position for prolonged periods. Requires the ability to move about inside the office and occasionally traverse across campus.
- Must be able to move items weighing up to 50 pounds.
- Must be able to communicate effectively with faculty, students, staff and the public.
- Constantly operates a computer and other office equipment such as a calculator, copy machine and computer printer.
Work Schedule: Full-time; 52 weeks per year. In addition to regular business hours, the person in this position must be able to be flexible around the needs of the College, which includes occasional evening and/or weekend hours. Mott Community College recognizes that remote work can benefit the student, employee and College and will permit employee duties to be performed remotely when it is appropriate, reasonable and feasible based on the Colleges mission and priorities.
