Summary of Job Duties and Responsibilities: General office duties.
- First point of contact for office visitors; answer phone and draft messages, write and distribute emails, correspondence memos, letters, faxes, and forms.
- Assist in managing all budget activities including accounting.
- Organize and maintain electronic and paper files of grant documents, accounting documents and resources.
- Assist with website updates, social media, and office calendar.
- Mange office supply inventory and ordering as well as outside vendor requests.
- Manage scheduling of meeting rooms, food ordering, pickup/delivery for meetings and events.
- Assist with travel arrangements for staff.
- Assist Director and staff with quarterly and annual reports as well as other tasks.
- Develop a working relationship with our host as well as our program offices of UofL and UK schools of medicine.
- Be able to travel in our 12-county region as well as statewide meetings and conferences.
Minimum Education Requirements: Two years of college credit.
Minimum Experience and Skill Requirements: Two years of administrative experience in a university, business or government office. Additional college education and related experience may be exchanged year-for-year to meet qualifications. Alertness, memory for verbal or written directions and details, and ability to plan and make decisions. Excellent communication and interpersonal skills, supervisory, multi-tasking, and organizational skills required. Must have pleasant, proactive personality and ability to handle demanding situations. Must be able to quickly adapt to address changing circumstances and personalities. Keyboarding, filing, MS Office Suite programs, office procedures; bookkeeping may be required.
