This is a Part-Time (.60FTE or 24 Hours Per Week), Temporary, Contractual position.
(Tuesday, Wednesday & Thursday)

The University of Maryland School of Medicine (UMSOM), Center for Advanced Research Training & Innovation (CARTI) is currently recruiting a part-time, contractual Administrative Assistant II. Under general supervision, provides complex administrative support to an individual, office, department, or program. Work requires comprehensive knowledge of the organization or program where assigned, skill in working with issues related to policy, procedures, and confidential matters, and involves considerable participation in the work of the supervisor. Incumbents exercise discretion and judgment with considerable consequence of error.

Primary Duties:

  • The Administrative Assistant II reports directly to the Associate Director of Research Training Tracks for the CARTI training track programs:
  • Administratively manage CARTI scholar's training track cohort programs
  • Recruit lecturers and schedule CARTI scholar presentations
  • Confirm presenters' participation in upcoming lectures
  • Create and distribute CARTI presentation surveys
  • Create data survey reports to send to scholars, presenters, and CARTI leadership
  • Send reminder emails/calendar invites to CARTI scholars/leadership
  • Collect powerpoint slides from presenters
  • Manage attendee counts of all events
  • Attend weekly training track meetings with CARTI leadership to provide updates on all scholar training track processes; ask/answer questions related to CARTI scholars
  • Record Zoom meeting lectures; upload powerpoint presentations and recordings to Blackboard
  • Manage CARTI lecture calendar & send out invitations to meetings
  • Reserve meeting rooms, order food (if necessary), and set up meetings/events
  • Ensure equipment is working, snacks & drinks are available, and fully stocked for in-person meetings
  • Perform other duties as assigned
  • The Administrative Assistant II will be asked to support the Director of Center Operations with the following responsibilities:
  • Answer main office phone line
  • Order office supplies
  • Prepare emails, letters & reports as needed
  • Manage FedEx shipments, if needed
  • Perform other duties as assigned

Qualifications:

Education: High School Diploma or GED

Experience: Three (3) years' experience providing administrative support.

OTHER: Applicants may be required to complete the institution's required skills assessment to be considered. Some positions require specific skills such as word processing, spreadsheet, presentation, database, email or calendaring software, and Internet proficiency.

Required Knowledge/Skill/Abilities:

General knowledge of and skill in the practical application of generally accepted office practices and procedures. Ability to communicate effectively both orally and in writing. Ability to proofread and edit written documents. Skill in various computer software packages, such as word processing, spreadsheets, database and presentation programs, Internet, email, and calendaring software. Ability to understand and follow oral and written instructions. Ability to interact effectively with internal and external parties in a courteous and efficient manner. Ability to plan, organize, prioritize, and execute multiple and continuing assignments with general instructions.

OTHER:

Except for qualifications established by law, additional related experience and formal education in which one has gained the knowledge, skills, and abilities required for full performance of the work of the job class may be substituted for the education or experience requirement on a year-for-year basis with 30 college credits being equivalent to one year of experience.

Pro-Rated Hiring Range (@ .60FTE): $30,000 - $33,000, Commensurate with education and experience
