Normal Work Schedule: Monday - Friday 8:00 am to 5:00 pm, some overtime during periods of heavy volume
Job Summary
The Administrative Assistant II provides administrative support for the operations of unit. Performs moderately complex and well documented administrative tasks. Acts as office liaison/receptionist. Receives and routes phone calls, emails, and/or guests. Maintains files and enters data. Drafts and sends communications on supervisor/departmental staff behalf. Reconciles P-Card/Concur for other staff/faculty against departmental budget. Performs some simple budget monitoring/entry. Operates standard office equipment such as personal computers, copiers, fax machines, etc.
Additional Department Summary
The Administrative Assistant II is responsible for assisting in the student conduct process working with case management, administering the office budget procedures, managing educational program registration and office management oversite.
This position provides a critical role in UA meeting the demands and requirements of an increasingly highly regulated environment. The incumbent provides significant responsibilities that relieve the professional staff so that they may focus on the critical issues and develop a safe and productive educational environment.
Responsible for completing required training that is related to laws and regulations, that creates a more hospitable and respectful workplace; and safer work environment.
Responsible for holding staff accountable for completion of required training.
Has personal accountability for financial reporting and responsibility for establishing, enforcing, and following internal processes and controls as outlined in UA policies and procedures.
Required Minimum Qualifications
High school diploma or GED and two (2) years of administrative experience; OR associate’s degree or higher.
Skills and Knowledge
Must be able to maintain confidentiality. Knowledge of standard software programs (i.e. Word, Excel, Access, Outlook) and operational knowledge of personal computers. Must be able to operate within a sophisticated student conduct management system including building reports and archiving records.

Preferred Qualifications
Associates Degree and two (2) years of experience; OR high school diploma or GED and four (4) years of experience.
