The Citadel, The Military College of South Carolina is seeking an Administrative Assistant for the ARMY ROTC department. This position is responsible for managing office operations, coordinating communications, and serving as liaison between cadets, faculty, staff, and external military partners.
Job ResponsibilitiesThe Citadel, The Military College of South Carolina is seeking an Administrative Assistant for the ARMY ROTC department. This position is responsible for managing office operations, coordinating communications, and serving as liaison between cadets, faculty, staff, and external military partners. In addition, this role will be responsible for the following:
- Coordinate daily office operations, including telephone coverage, correspondence tracking, and records management.
Maintain departmental files, policies, directives, and regulatory documentation to ensure accuracy and compliance.Serve as the primary point of contact for visitors, cadets, faculty, staff, and external stakeholders, providing information and directing inquiries appropriately.Provide administrative support to the Professor of Military Science, including calendar management, meeting coordination, and scheduling.Coordinate departmental events, joint military ceremonies, and special programs, including logistics, communications, and documentation.Assist faculty with preparation of instructional materials, academic schedules, and training calendars.Coordinate documentation and administrative support for ARMY scholarships, field training exercises and off-campus activities.Assist with compliance-related processes, including personnel documentation and security-related requirements.Manages and maintains the department's budget under the supervision of the Associate Provost for Academic Affairs.Provide guidance to cadets on administrative and academic procedures, policies, ARMY scholarships, and program requirements. Minimum QualificationsMust have an associate's degree in a related field with at least three (3) years of administrative experience or a high school diploma with a minimum of five (5) years of progressively responsible administrative experience.
Proficiency in Microsoft Office Suite and standard office technology. Ability to manage multiple priorities in a fast-paced environment with strong attention to detail. Strong written and verbal communication skills. Ability to exercise discretion and handle confidential information.
Preferred QualificationsKnowledge of military structure, terminology, and protocol preferred.
