Essential Job Duties:
The Administrative Assistant / Office Manager position for ComTech provides direct administrative management support to the assistant vice chancellor of ComTech, while regularly performing a variety of office management duties for team members throughout ComTech and other OIT units as needed.
Essential Job Duties
Administrative Management Support
- Provide direct administrative management support to the assistant vice chancellor (AVC), including managing complex calendars, coordinating meetings, preparing correspondence, handling AVC travel arrangements and other related administrative management duties
- Coordinate meeting logistics and scheduling with campus community stakeholders, internal and external associates, to support efficient communication and collaboration
- Perform a variety of administrative and office management functions to support members of ComTech and other OIT units as needed (ex: travel arrangements, PCard purchases, warehouse and purchasing requests)
- Assist with developing and maintaining office operations, procedures, and administrative policies that contribute to an efficient and well-supported workplace
- Support departmental workflows, documentation, and internal reporting processes
- Serve as the building liaison for OIT, manage facilities-related requests and orders (ex: AiM building liaison requests), respond accordingly to building-related inquiries and assist with resolving issues and concerns
- Serve as the department surplus coordinator, managing the disposition of surplus property in accordance with university procedures
- Manage and monitor office supply inventories to support daily operations and ensure inventory is organized and maintained
- Assist with the planning of OIT and campus community events
- Serve as a resource for department staff by responding to inquiries, directing requests to the appropriate resources, and providing responsive, professional customer service to establish standard processes and procedures for enhancing overall efficiency.
- Utilize office productivity and collaboration tools to support communications, maintain information, and perform routine updates to departmental web content
Other Work/Responsibilities:
- Other administrative duties may be assigned as needed to support other OIT units.
Minimum Experience/Education:
High School Diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Required Qualifications:
Excellent interpersonal skills including the ability to communicate verbally as well as via written communications. The ability to analyze requests from staff and utilize knowledge of departmental services to route staff to the appropriate individuals able to assist with any questions. A wide range of computer skills including productive tools (eg Google Docs/Sheets/Slides/Forms) and the ability to perform minor updating of web content (eg monthly metrics).
Preferred Qualifications:
- Experience providing high-level administrative management support, including managing complex calendars, coordinating meetings, and arranging travel for senior leaders
- Experience supporting office operations in a higher education, information technology, or similarly complex administrative environment
- Demonstrated proficiency with Google Workspace (Docs, Sheets, Slides, and Forms) and experience maintaining or updating web content
- Experience coordinating administrative processes related to travel, purchasing, office operations, or human resources
- Strong organizational skills with the ability to manage multiple priorities, maintain confidentiality, and work independently while supporting a collaborative team environment
