This position is responsible for coordinating the daily operations of the Office of the President and performing a variety of administrative duties for and providing administrative support to the President. This position serves as a liaison between the President and employees and the West Alabama community to coordinate and facilitate actions and activities related to the operation of the College.
SALARY SCHEDULE PLACEMENT: Range of $56,139 - $73,632, based upon the Alabama Community College System and Shelton State Community College Salary Schedule E1-1 to be determined by the applicant’s education and years of applicable experience.
Primary Job Duties and Responsibilities:
- Perform advanced administrative skills to include:
- Handling confidential records and information and observe strict confidentiality at all times
- Using standard office equipment such as a computer, fax, calculator, copier, etc.
- Keyboarding, word processing, and file maintenance
- Composing drafts of correspondence independently
- Using recent editions of common application software such as Microsoft Office
- Using the College’s database or other Windows-based data base programs
- Creating and maintaining databases
- Organizing and presenting information in tables, charts, spreadsheets, etc.
- Proofreading drafts and correcting grammar, syntax, spelling, and punctuation on correspondence and documents
- Organizing and maintaining office files and confidential files
- Working well under pressure to meet deadlines
- Demonstrate effective oral and written communication skills to include:
- Preparing accurate reports from varied types of information
- Making oral presentations on job-related topics to small groups
- Understand and follow advanced written and verbal instructions including, but not limited to the following:
- Assimilating knowledge of institutional policies and procedures
- Following departmental guidelines and procedures
Secondary Job Duties and Responsibilities:
- Schedule appointments and maintain calendar for the President
- Receive calls and visitors in accordance with office policy
- Screen and processes incoming correspondence
- Act as a liaison between the President and employees, students, parents, and community
- Maintain effective working relations with the College community
- Type correspondence, reports, and other information
- Assist with and prepare attendance reports for personnel who report to the President
- Disseminate materials and information to employees
- Maintain filing systems using standard records management procedures
- Handle contracts for personnel who reports to the President
- Assign and supervises the work of other clerical personnel/work study students assigned to the Office of the President
- Serve as record keeper for the President’s Cabinet and advisory meetings and maintains appropriate files as needed
- Coordinate arrangements for attendance at conferences and other travel for the President and/or other college personnel as needed
- Prepare final documents from rough draft or plain copy
- Accumulate and organizes pertinent data into functional form
- Demonstrate the highest standards of confidentiality, ethics, loyalty, honesty and integrity
- Demonstrate ability to work effectively with populations representing diverse backgrounds, life experiences and abilities
Other Job Duties and Responsibilities:
- Comply with policies of the Alabama Community College System and the College
- Serve on College committees
- Participate in professional development, compliance, and other training activities as required
- Perform other duties as assigned by supervisor
Minimum Required Qualifications:
- Associate degree from a regionally accredited institution
- Five (5) years of full-time administrative or secretarial experience providing administrative support to the senior executive level
- High level of technical proficiency in the collection, management, and use of electronic information
- Proficiency with Banner or equivalent educational database
- Advanced proficiency with Microsoft Office to include Outlook, Word, Excel, and PowerPoint
- Ability to work effectively with populations representing diverse backgrounds, life experiences, and abilities
Preferred Qualifications:
- Bachelor’s degree from a regionally accredited institution
- Work experience in a college environment
