Wesleyan Honors Academy (WHA), Nebraska Wesleyan University's dual enrollment program, is seeking a full-time administrative assistant due to program growth. The administrative assistant works closely with the program director to process and manage student registration for dual enrollment courses and communicates regularly with parents, students, high school counselors, and dual enrollment instructions, primarily through email and phone calls. processing payments, planning and preparing for events, and assisting the program director in onboarding teachers. This position requires strong technology and communication skills, including the ability to deliver focused and personalized support to students, families, and school personnel.
Required skills/knowledge:
- Proficiency in Microsoft Office software, especially Excel and Outlook. Basic proficiency in Excel (data entry, formatting, sorting, filtering, simple formulas) is expected. The candidate should also have the ability to increase to intermediate proficiency through direct instruction and independent learning.
- Ability to maintain a high level of confidentiality
- Experience in or ability to learn various software systems, such as CRM and LMS solutions, project management, educational records, and financial and record-keeping
- Excellent public relations and communications, both by phone and email
- Ability to problem-solving and prioritize tasks with minimal guidance
- Strong organizational skills with attention to detail
- Strong writing ability and typing skills
- Ability to use a photocopier, scanner, and landline telephone
- Confidence in skills and ability, while still knowing when to ask for help/clarification
Preferred skills/knowledge:
- Experience with secondary education and undergraduate college education within the past five years (as a student, parent, and/or employee)
- Knowledge of dual enrollment programs
Minimum qualifications:
- Associate's degree or coursework/training related to business administration; Preferred bachelor's degree
- Experience in a clerical position in an office setting; Preferred experience in education environments
Job duties:
- Process student dual enrollment registration using existing processes
- Organize and maintain student information related to dual enrollment
- Communicate with students, parents, and counselors to correct or confirm student information errors or discrepancies
- Respond to outreach regarding the dual enrollment program and involving others when necessary
- Create and manage spreadsheets, run reports, and manage databases
- Compose emails to individuals and to groups in order to distribute or collect the necessary information
- Assist with events and activities
- Coordinate with other departments within the university, as related to the dual enrollment program
- Assist in processing instructor applications and onboarding
- Process payments and reimbursements
- Provide personalized support to dual enrollment students, their families, and teachers
- Other duties as assigned by the Program Director
