Description:
The Administrative Assistant reports to the Assistant Dean for Medical Education Administration and provides administrative support to the Associate Deans for Medical Education and Advanced Clinical Experiences, as well as the Office of the Dean. This position requires the use of independent judgement in planning, prioritizing a diversified workload, and regular communication with students, faculty, physicians and administration at the School of Medicine, Hofstra University, and Northwell Health.
Responsibilities include, but are not limited to:
- Triages requests of faculty members, staff members, students, and outside visitors; directs them to the appropriate person or department as they present.
- Provides high-level support to the Medical Education Program Manager, including but not limited to answering phones, arranging travel, taking minutes at meetings, preparing and tracking documents, reports, grants, manuscripts, and presentations, drafting responses to routine and non-routine correspondence, fielding answers to routine questions, coordinating calendars, handling confidential and non-routine information and explaining policies when necessary.
- Assists with providing administrative and logistical support to the Curriculum Committee and its subcommittees
- Assists with the maintenance and updates of curriculum-related databases and documents
- Provides backup administrative support to the Dean, Vice Dean, and Associate Dean for Administration and Strategy, as needed
- Assists with event and meeting coordination, database entry, conducting basic internet research, maintaining information for various websites, and communication with project stakeholders
- Collaborates with other administrative staff members to cover absences, provide relief to equalize peak work periods, or otherwise balance the workload within the department
- Completes other special projects and routine office duties as assigned
Qualifications:
- Bachelor’s degree required.
- Minimum one year experience in an office environment.
- Possess excellent organizational skills and attention to detail.
- Must be a creative problem solver.
- Customer service oriented and possess excellent oral and written communication skills.
- Must be able to work independently.
- Demonstrate a high degree of judgment, discretion, and confidentiality.
- Must be mission-driven, motivated, and a lifelong learner.
- Extensive computing experience and demonstrate proficiency with Microsoft Word, Excel, PowerPoint, and Outlook.
