THIS POSITION IS LOCATED IN CHATTANOOGA, TN

JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Administrative Associate 2 supports the undergraduate medical education mission of the Department of Medicine and assists the Clerkship Director with medical students enrolled in clerkships, electives, junior internships and career explorations. This position also supports the residency program and the Chair of the Department of Medicine.

Responsibilities

  1. Serves as the departmental contact and support for medical students completing clerkship and electives.
  2. Schedules orientation, lectures, midterm evaluations, clerkship director advisory meetings, oral/written exams and rotations.
  3. Gathers student evaluations, tallies grades for submission to Memphis or the corresponding medical school.
  4. Compiles and maintains student lecture series, data/contact information for each rotation and distributes information regarding incoming students to faculty and staff.
  5. Provides documents, support, organization, and minutes for various meetings when working with the other medical student liaisons and faculty.
  6. Maintains confidentiality and discretion as needed for student and personnel issues.
  7. Assists the Residency Program Coordinator and the Residency Program director in all activities related to resident training.
  8. Prepares and disseminates correspondence for the Department Chair and all department faculty.
  9. Performs other related duties as assigned.

Qualifications

MINIMUM REQUIREMENTS:

EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)

EXPERIENCE: Two (2) years of office experience; OR Associate’s Degree in lieu of experience.

KNOWLEDGE, SKILLS, AND ABILITIES:

  • Ability to work with physicians, staff and medical students.
  • Ability to work as an integral member of the residency management team.
  • Ability to demonstrate excellent verbal and written communication skills.
  • Excellent organizational and management skills.
  • Ability to monitor evolving medical student processes and standards.
  • Must be proficient in Microsoft Office (Outlook, Word, Excel and PowerPoint), Microsoft Teams, One Drive, Zoom scheduling, hosting, and functionality for breakout rooms.
  • Excellent keyboarding, grammar and proofreading skills.
  • Ability to work with little or no supervision and to exercise good judgment and discretion in the performance of all work assignments.
  • Excellent organizational and multi-tasking skills to prioritize work to meet deadlines and handle urgent matters while staying on task with other assigned duties and responsibilities.

WORK SCHEDULE: This position may occasionally be required to work evenings.
