ADMINISTRATIVE ASSOCIATE
The University of Alabama at Birmingham
General Responsibilities:
Under minimal supervision, to provide essential administrative and business support services within a school, department or unit which may include budget maintenance, personnel processing, policy communication, facilities/space management, database/files management, office/clinic management or patient flow management. To coordinate programmatic activities and functions. To conduct special projects relating to an office's administrative operations at the direction of superior. To maintain vendor relationships. To interface with internal and external constituencies. May provide confidential secretarial/office support functions for department chairs, large division directors, deans or other organization executives. Typically supervises clerical/secretarial staff. May assist in preparation and submission of grants. May be responsible for equipment/furniture repair. May assist with grants and contracts administration. May prepare financial reports and analyses.
Key Duties & Responsibilities:
- Operating Budgets, Balance Accounts Operating Budgets, Budget Transfers as Required Operating Budgets, Process Requests for Checks Operating Budgets, and Reimbursements Operating Budgets
- Set Up Vendors and PO's Production Budgets
- Balance Accounts Production Budgets
- Budget Transfers as Required Production Budgets
- Process Requests for Checks Production Budgets
- Reimbursements Production Budgets
- Set up Vendors and PO's Scholarship Accounts Management
- Scholarship Letters Processing, Scholarship Payments Processing, and Stipend Payments Processing Theatre Special Projects Budget Curriculum: Course Catalog Data Entry for classes Scheduling Classrooms (8 rooms and Bell Theatre)
- Scheduling Courses General: Faculty Meeting Minutes Guest Artist (for classes)
- Payment Requests and PSI forms
- Hire/Supervise Work Study Students
- Key Control Requests, New and Duplicate Keys Key Control, Faculty, Staff and Student Access with Key Cards Key Control, and Lock Repair
- Maintain orderly appearance in kitchen/work area
- Maintenance Requests
- Order Supplies, Classroom and Office
- Perform other duties as assigned
Pay Range:
$18.35 - $29.80
Qualifications
Minimum Requirements:
Bachelor's degree in a related field and one (1) year of related experience required Or an equivalent combination of relevant education and/or experience.
