Responsibilities

The Administrative Associate is responsible for a wide variety of higher-level administrative tasks for the English Department. You will serve as the Human Resources Department Representative as well as the Time and Leave Department Representative.

Responsibilities Include:

  • Serving as the departmental HR Transactional Representative. Processing Faculty, Staff, Graduate Assistant and OPS personnel actions including recruiting, hiring, appointment paperwork, reappointments, courtesy appointments, terminations, leave of absence, and sabbaticals, funding/appointment changes/updates etc. and any associated paperwork.
  • Monitoring hiring process to completion and coordinating with onboarding employees to ensure timely processing.
  • Acting as a liaison between international students and the central offices to ensure timely and accurate processing of applications and paperworks including visa and green card documents.
  • Processing and maintaining I-9s and Compliance Screening for all English employees.
  • Serving as the Departmental Time and Leave Coordinator. Monitoring active appointment reports and payroll cost center reports on a bi-weekly basis and investigating any discrepancies.
  • Maintaining departmental tracking spreadsheets to ensure all HR, appointment and payroll information is accurate and up-to-date.
  • Acting as the primary Purchasing proxy for the department. This includes being responsible for approving expenses and advising cardholders to ensure compliance with regulations.
  • Assisting with providing office coverage and assistance to students, faculty, staff, and guests as needed.
  • Assisting with departmental events (e.g., setting up, cleaning up, and gathering information) as needed.

Qualifications

High school diploma and three years of experience. (Note: post high-school education and/or experience may substitute at a comparable rate.)

Anticipated Salary Range

Anticipated starting salary for the position is in the mid $30,000's.
