Job Summary
Coordinate, oversee, and/or perform a wide variety of administrative and program support. Coordinate the provision of office and staff support services to the department or unit, and oversee and/or participate in the coordination, supervision, and completion of special projects and/or events.
Based on the recent Proclamation: Restriction on Entry of Certain Nonimmigrant Workers (H-1B), VSU will not be sponsoring any new H-1B visa petitions until further notice.
Responsibilities
Typical Allocation of Duties:
Coordinate department or unit activities - 15%
Monitor and coordinate activities as appropriate, and prepares internal reports for management; participate in budget planning and management, as required.
Project development - 15%
Assist with project development and planning.
Maintain files, records, and databases - 15%
Gather, enter, and/or update data to maintain departmental records and databases, as appropriate; establish and maintain files and records for the department or unit.
Confidential administrative support - 20%
Provide confidential administrative support for the department or unit.
Primary point of contact - 15%
Serve as a primary point of direct administrative contact and liaison with other offices, individuals, and external institutions and agencies.
Correspondence - 5%
Compose and prepare written documentation and correspondence for the department or unit.
Special Projects - 5%
Assist in the coordination, supervision, and completion of special projects as appropriate.
Coordination of supplies - 5%
Coordinate and oversees the day-to-day management of supplies, equipment, and facilities for the department or unit, as appropriate.
Supervision - 5%
May supervise personnel which may include recommendations for hiring, performance evaluation, training, work allocation, and problem resolution.
Supervisor Expectations:
The Administrative Coordinator is expected to manage smooth operations and efficient workflow of the office of Access/Testing. Implement and improve administrative policies and procedures, managing budgets, and coordinating between Access and Testing. Strong organizational, communication, and handling multiple tasks effectively.
Leadership and Management:
- Supervising and Managing Student Assistant/Work Study Staff: This includes hiring, training, evaluating performance, and addressing employee issues.
- Coordinating Workflows: Ensuring that administrative tasks are completed efficiently and effectively.
Administrative and Office Management:
- Developing and Implementing University Policies and Procedures: Creating and updating policies and procedures to improve efficiency and compliance.
- Managing Budgets: Overseeing departmental budgets and ensuring expenditures are within allocated limits. Creating and managing requisitions.
- Maintaining Records and Files: Ensuring accurate and organized records management.
- Overseeing Office Operations: Managing office supplies, equipment, and facilities.
- Scheduling and Planning: Coordinating meetings, events, and travel arrangements for Staff/Supervisor. Oversee testing and accommodations for students who test in the office. This includes securely sending, receiving and returning all test materials to Faculty.
Communication and Coordination:
- Liaising with Other Departments: Working with other university departments to ensure effective communication and collaboration.
- Communicating with Management: Providing updates and recommendations to management on administrative matters.
- Responding to Inquiries: Addressing inquiries regarding students with disabilities and testing from internal and external parties.
Skills and Competencies:

- Budget Management and Financial Reporting: Experience in managing budgets and financial reporting.
- Technology: Maintain office social media and webpage and adjust information as needed. Keep all equipment up to date including software checks, device inventory, and usability for students.
Required Qualifications
Required Experience
Associate's degree and five (5) years of related work experience.
Proposed Salary
$17.61/hr ($36,628/annual)
