Admin Coordinator – Fraternity and Sorority Life

The Administrative Coordinator is responsible for managing administrative operations of the office of fraternity and sorority life. Primary duties include: Provide administrative support and utilize campus programs/software for processes with financial impact. Oversee chapter roster updates, process changes, track membership card and billing agreement data for over 10,000 members of the growing fraternity/sorority community. Serve as the central point of contact for students and guests visiting the office, ensuring front-end office operations are welcoming. Provide administrative and operational support to the Assistant Dean of FSL by coordinating schedules, preparing documents, maintaining records, responding to inquiries, organizing meetings, and completing assigned administrative tasks. Coordinate office building and property maintenance, manage office supplies and equipment, and ensure a safe and productive working environment. Provide administrative support by managing email and phones operated by the unit.
Job Related Minimum Required Education and Experience
Requires a bachelor’s degree in a job related field and 1 or more years of job related experience, which may be substituted by an equivalent combination of job related certification, training, education, and/or experience.
Preferred Qualifications
Experience in roster or client management systems and/or in customer or client-facing role. Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant.
Knowledge/Skills/Abilities
Knowledge of Office Administrator responsibilities, systems, and procedures. Ability to quickly learn new systems and processes. Proficiency in MS Office (MS Excel, Outlook, and Teams in particular). Excellent time management skills and ability to multi-task and prioritize work. Attention to detail and problem-solving skills. Excellent written and verbal communication skills. Strong organizational and planning skills in a fast-paced environment.
