Administrative Coordinator

Job Description:

This position is responsible for providing day-to-day administrative and financial support to faculty and students in the Department, as well as assisting the Academic Department Manager (ADM) with coordinating the department's general operational needs. Responsibilities and tasks include: monitoring the main phone line; assisting visitors; managing the classroom meeting space calendars; coordinating logistical support for meetings, events, and colloquia; providing course-related support; assisting faculty and visitors with travel plans and expense reports; processing purchase order requests; coordinating and tracking Professional Services Agreements; and building maintenance requests. This position will maintain current knowledge of, interpret, and apply applicable University policies.

Overall, the position provides effective and efficient support to a wide range of individuals, such as administrative or other academic units, student inquiries, faculty requests, and prospective students and parents seeking information about the department.

This part-time position is 30 hours per week, 12 months per year.

Education and Experience:

  • High School diploma with a minimum of 4 years of related work experience or the equivalent combination of education and/or experience. Experience in an academic or non-profit setting is preferred.
  • Excellent communication skills.
  • Customer-focused, customer service-oriented.
  • Excellent administrative and organization skills. Exceptional attention to detail.
  • Initiative and ability to work independently as well as collaboratively as a team member.
  • Ability to problem-solve and troubleshoot issues when appropriate.
  • Prior financial experience preferred.
  • Ability to multitask and prioritize workload in a busy environment.
  • Proficient in Microsoft (Word and Excel) and Google platforms (Google Docs and Sheets), Adobe Acrobat, and Zoom.
