Pay Range
The compensation for this appointment will range from $75,000 to $85,000 annually and reflects what California Baptist University reasonably expects to pay for this staff appointment. Actual compensation may vary based on the qualifications and experience of the applicant, as well as market conditions. In addition to wages, CBU offers a robust suite of employee benefits.

Position Summary Information

Summary
Under general supervision, provides administrative, project, and executive support to the Division of Marketing and Communication, which includes areas such as Marketing and Communication, Campus Store, Career Center, Conferences and Events, Print and Copy, Mail Services, and Ticketing. May provide specialist services in the areas of public and community relations, enrollment marketing, general business administration, and/or customer service, depending upon the functional area supported.

Essential Duties and Responsibilities
Other duties may be assigned.

  • Assists Vice President in recruiting, hiring, orientation, and training of personnel within the Division of Marketing and Communication.
  • Directly oversees the administrative assistant for the Division of Marketing and Communication.
  • Serves as the primary point of administrative contact and liaison with other offices, individuals, and institutions; coordinates and attends committee meetings.
  • Provides leadership for the Division of Marketing and Communication administrative team.
  • Performs research and analysis on specific issues, as required, which may be highly sensitive and confidential in nature.
  • Creates and maintains databases, spreadsheet files, and reports.
  • Manages office expenditures and assists the Vice President with budget allocations and updates.
  • Manages supervisor’s calendar and independently schedules appointments.
  • Answers and screens Vice President’s telephone calls and correspondence and responds independently when possible.
  • Maintains, and assists with the preparation of, reports and other materials for the Board of Trustees.
  • Acts as custodian of divisional documents and records, working with the campus archivist as needed.
  • Arranges programs or events by leading coordination for facilities and caterer, issuing information or invitations, coordination speakers, and controlling event budget.
  • Assists the Vice President on specific projects related to the long-term goals of the university, such as strategic planning, fiscal responsibility, etc.
  • Assists the Vice President with the maintenance of all contracts/agreements with outside vendors.
  • Works with Vice President and the university’s legal counsel to prepare agreements prior to renewal or startup.
  • Develops and implements new administrative systems.
  • Arranges and coordinates travel schedules and reservations.
  • Coordinates and arranges meetings, prepares agendas, reserves and prepares facilities, and records and transcribes minutes of meetings as needed.
  • Performs other duties that are specific to the Division of Marketing and Communication.
  • Presents a positive supportive image of the Division of Marketing and Communication, California Baptist University and Christian Higher Education.

Supervisory Responsibilities
Carries out supervisory responsibilities in accordance with the organization’s policies and applicable laws. Responsibilities include interviewing and training employees; planning, assigning, and directing work; appraising performance; disciplining employees; addressing complaints and resolving problems. This position could also be responsible for assigning work and/or giving direction to part-time Student Workers, in order to complete office work assignments.

  • Ability to read and write at a level appropriate to the duties of the position.
  • Ability to gather data, compile information, and prepare reports.
  • Strong interpersonal and communication skills and the ability to work effectively with a diverse faculty, staff and student body.
  • Must be highly organized who is able to remain calm in a fast-paced, environment.
  • Attention to detail and ability to follow-through with projects a must.

PHYSICAL DEMANDS: The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job the employee is regularly required to stand; walk; sit; and requires sufficient hand, arm, and finger dexterity to operate computer keyboard or other office equipment. Requires visual acuity to read words and numbers and speaking and hearing ability sufficient to communicate in person or over the phone. The employee must occasionally lift and/or move up to 15 pounds. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

WORK ENVIRONMENT: The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. The noise level in the work environment is usually moderate. Work normally performed in a typical interior/office work environment, with minimal exposure to health or safety hazards.

Education and/or Experience
Bachelor’s degree from four-year university; and two to three years of related experience and/or training; or equivalent combination of education and experience.
