Administrative Specialist II, 4-H AmeriCorps
Job Description
The position provides a wide range of operational support to visitors, students, and employees, navigating various administrative processes, procedures, and cyclical calendars critical to the unit's operation within the university. The primary responsibility is to serve as an administrative process expert and coordinator, acting as the first point of contact for the department while performing functions such as researching information, solving problems, and providing program and/or event assistance.
Duties may include:
- Compose, proofread, edit, and distribute a variety of business documents and routine reports
- Maintain schedules and event calendars
- Coordinate logistics for regular travel and meetings
- Collect and organize data, enter information into various electronic systems to ensure accuracy and compliance, and validate information
- Review internal operating procedures for improvements in workflow and records management
- Greet office visitors and respond to incoming calls and email correspondence, providing information and redirecting inquiries
- Manage inventory
- Other duties as assigned
Required Experience:
- One year performing office support functions such as document or records management, composing or editing business documents, reception, and/or customer service
- Using computer software and applications for word processing, spreadsheets, email, and internet research
- Balancing a workload of assigned tasks to meet multiple deadlines
Required Education:
High School Diploma or equivalent
Required Other:
- Ability to work non-standard hours occasionally, including weekends and holidays
- Ability to travel for program commitments
- Must have a valid driver’s license and ability to meet UI requirements for driving university vehicles
Additional Preferred:
- Proficiency in Microsoft Office and/or Google Workspace
- Experience using computer information systems to manage finances, business processes, or records
- Demonstrated ability to collect, compile, and analyze data
- Familiarity with University of Idaho administrative programs and the 4-H AmeriCorps program
- Experience in marketing and public relations, including social media
- Bachelor’s degree in Public Relations, Marketing, or related field, or four years of equivalent professional experience
- Experience providing administrative support to multiple individuals
