Overview
The College of Veterinary Medicine is hiring for an Administrative Support Associate. This position will serve as the first point of contact for visitors & will perform a mix of both administrative and clerical duties. In addition to serving as an admin associate for SRRC, this position will perform administrative tasks for CE - CVM & assist heavily with the CVM Annual Conference & other events & needs during the year as well as performing administrative tasks for the Dean's Foundation - CVM. The duties will differ based on departmental needs.
Primary tasks include: Scott Ritchey Research Center:
Serve as first point of contact; process donations, sort and distribute mail, process JVs, PCard reconciliations, travel vouchers, vendor vouchers, room reservations, ordering supplies, processing donations, and any other administrative/clerical needs the center may have.
CVM – Continuing Ed: Process travel vouchers, PCard reconciliations, collection reports, sending admission deposit reports, TigerBuy, assist with organization of CE events (for example, the CVM Annual Conference), and reconciliation of CE accounts.
CVM – Dean’s Foundation: Process journal vouchers, employer reimbursements, vendor vouchers, collect security logs, etc.

Responsibilities
- Performs multiple duties which are a mix of administrative and clerical in nature, which may include, but are not limited to data gathering, data management, correspondence, filing, calendar management, event scheduling, registration, mail distribution, answering the phone, website maintenance, and purchasing/ordering supplies.
- Provides budget tracking and monitoring, payroll processing, travel/expense voucher processing, as well as other expenditure processing.
- Advises faculty, staff, and students of standard policies or procedures.
- Acts as a liaison to other departments, clients, and students on behalf of manager, director, or department head.
- Acts as point of contact for purchasing or vendor/outside agencies.
- May perform some administrative duties which may include, but are not limited to budget coordination, human resources administration (beyond payroll entry), recruitment coordination, preparation of reports/documents/presentations, or coordination of complex projects or events.
- As an academic position, duties may also include but are not limited to scheduling classrooms, entering course information in to AU student scheduling system (OASIS), maintaining grades/registration, conducting teaching effectiveness surveys, contacting bookstores concerning textbooks, facilitating departmental presentations, and administrative issues related to student academic or financial status.
Qualifications
Level I: High school diploma or equivalent plus 2 years of experience in clerical and administrative support services.
Level II: High school diploma or equivalent plus 4 years of experience in clerical and administrative support services.
Substitution allowed for Experience:
Degrees may be used in lieu of experience
