  • 5 weeks annual leave +5 days university holidays
  • Salary - $67,843 - $72,000 p.a., based on skills and experience
  • Permanent position, 37.5 hours per week

Āu Mahi | What You Will Do

You will provide high-quality administrative and personal support to the Head of School while ensuring the smooth day-to-day operation of the school. Your role will be varied and hands-on, including managing the Head of School’s diary and inbox, coordinating meetings and acting as committee secretary, and supporting school-wide processes and events.

Daily, you will be the first point of contact at reception, managing enquiries through a shared inbox, coordinating room and equipment bookings, arranging travel, and supporting school functions and catering. You will maintain school webpages, assist with thesis collections, and ensure information, records, and communications are accurate and up to date.

Mōu | Who You Are

You are a proactive, personable, and highly organised administrator who thrives in a front-facing role and can confidently work independently while managing multiple priorities. The role involves handling sensitive and confidential information, so a high level of discretion and integrity is essential. You will be able to demonstrate experience in:

  • At least 4-5 years’ experience in business-related administration, including Personal Assistant support, in large organisations, preferably in tertiary education provider
  • Strong experience in a front-facing, customer-focused role supporting staff and stakeholders
  • Advanced experience of meeting and minute taking protocols
  • Experience in planning and prioritise workload, working under pressure to meet deadlines and manage various demands
  • Advanced knowledge and experience in all Microsoft Office Programmes
  • Demonstrated experience coordinating events, functions, or operational activities

You will work closely with the Head of School, academic staff, and the wider administration team. You’ll also engage regularly with students, visitors, contractors, and internal service teams, building strong relationships across the University.
