Job Description
The Admissions and Recruitment Project Coordinator supports Graduate School application, admissions, and recruitment processing. Reporting directly to the Graduate School Director, this position serves as the primary Graduate School liaison with Admissions and Recruitment. The role supports both internal and external communications and focuses on strengthening admission and recruitment processes.
This position is not eligible for new visa sponsorship at this time. Candidates who already hold valid U.S. work authorization may be considered.
Key Responsibilities
Admissions and Application Coordination
- Support graduate application processing and related administrative workflows.
- Manage oversight of transcripts. Specifically oversees transcript evaluations, residency requirement evaluations, academic holds, and work flows.
- Support applicant communications, respond to inquiries, and manage transcripts and test scores to ensure complete and accurate applications
- Serve as a liaison with the International Programs Office regarding recruitment and application processes for international students.
Graduate Recruitment Support
- Collaborate with the Graduate School team and the Office of Admissions and Recruitment to align recruitment and admissions activities.
- Assist with refining and enhancing Graduate School recruitment processes and strategies.
- Work in collaboration with the Graduate Program Managers to build and maintain ongoing communication with individual graduate programs to support recruitment goals.
- Coordinate recruitment-related timelines, materials, and continuous process improvements.
- Serves as the project coordinator for the recruitment committee overseeing and managing related timelines, materials, and continuous process improvements.
External Communications and Project Coordination
- Support internal Graduate School communications related to recruitment, admissions, prospect correspondences.
- Coordinate external communications with academic programs and university partners related to graduate recruitment efforts.
- Coordinate information sharing among Graduate School staff, program administrators, and campus partners.
- Track project timelines, deliverables, and process documentation to support ongoing improvement efforts.
Minimum Qualifications
- Bachelor's degree or equivalent combination of education and relevant professional experience.
- Experience supporting administrative, project coordination, or operational functions in a higher education or complex organizational setting.
- Demonstrated ability to coordinate multiple projects, timelines, and stakeholders simultaneously.
- Strong written and verbal communication skills, with the ability to convey information clearly.
- Experience working collaboratively across departments or functional units.
- High level of organizational skill and attention to detail, with the ability to manage competing priorities.
- Proficiency with standard office software and collaboration tools (e.g., Microsoft Office, Google Workspace, project tracking tools).
- Ability to handle sensitive information with discretion and professionalism.
Preferred Qualifications
- Experience in higher education admissions, recruitment, student services, and/or academic administration.
- Familiarity with graduate application processing and admissions workflows.
- Experience serving as a liaison between academic units and central administrative offices.
- Knowledge of international admissions processes or experience working with international student services.
- Experience coordinating internal and external communications, including recruitment or marketing-related materials.
- Familiarity with customer relationship management (CRM) systems, admissions platforms, or student information systems.
- Demonstrated interest in process improvement, documentation, or operational efficiency.
Additional Information

Salary will be between $50,000 and $53,000 per year, commensurate with education and experience.
