Position Overview

The Carle Illinois College of Medicine is seeking highly qualified applicants for Assessment and Evaluation Coordinator. This position is responsible for providing high-level assistance in key functions associated with managing, evaluating, and improving a complex medical curriculum. The person holding this position will work collaboratively with administrators, faculty, and staff, and are under the direct supervision of the Director of Educational Assessment and the general direction of the Assistant Dean for Curriculum, Assessment, Evaluation and Enrollment.

Duties and Responsibilities

  • Assist the Director of Educational Assessment in the design, approval, and implementation of assessment and evaluation plans and tools related to preclinical, clinical, project, and elective courses.
  • Participate and support the debrief sessions, subcommittee (i.e., FSS, CCS, EIS, and CES) course reviews, and other activities associated with evaluating and improving required courses and clerkships in the MD curriculum, which includes the foundational science courses, the clinical courses and clerkships, and the engineering and innovation courses.
  • Assemble the relevant data packets that are distributed to course directors and the relevant Faculty Education Director (FED), and which are used by the relevant subcommittees of the Curriculum Oversight Committee (i.e., FSS, CCS, EIS, and CES) to evaluate required course and clerkships.
  • Actively participate in the debrief sessions and review processes for all required courses and clerkships.
  • Utilize project management tracking systems that help ensure that approved recommendations are implemented.
  • Collect and analyze various data prepare scheduled and special reports maintain program/project records and statistical information when applicable.
  • Collaborate in the processes utilized to assess student performance, assess faculty performance (i.e., in their role as teachers), and evaluate required courses and clerkships.
  • Expertly utilize the assessment management systems to ensure that the appropriate and relevant forms are distributed to faculty and medical students as each required rotation or course concludes. This includes ensuring: Faculty receive the appropriate form(s) to assess student performance, Students receive the appropriate form(s) to assess faculty in their instructional role(s), and Students receive the appropriate form(s) to evaluate required courses and clerkships.
  • Compile course and clerkship evaluation data, including comments submitted by students, as well as end of course/clerkship data for the purpose of evaluating and improving courses and clerkships.
  • Generate reports associated with the process of evaluating required courses and clerkships to ensure that content, instructional methods, and assessment methods are aligned with course and clerkship objectives.
  • Engage with departmental leaders and administrators and staff in the Office of Academic Affairs to ensure that relevant data is shared appropriately: With faculty members engaged in teaching medical students (i.e., so they are provided feedback to improve their educational skill sets), With department heads (and section heads, as appropriate) who are engaged in the faculty review process and associated procedures related to faculty appointments, promotion, and tenure, Provide reports regarding student academic and clinical workload, Provide staffing support for faculty workshops on evaluation and assessment.
  • Attend regular department meetings, staff meetings, and other meetings as assigned.
  • Troubleshoot or respond to faculty/student questions about the assessment management and curriculum management systems, as well as with examination platforms.
  • Proctor examinations. Serving as a Chief Proctor when necessary. Responsibilities include: overseeing other proctors, generating exam performance reports.
  • Under the general direction of the Assistant Dean for Curriculum, Assessment, Evaluation, and Enrollment contribute to activities associated with curricular management and mapping.
  • Actively participate in the curriculum mapping process.
  • Assist in the preparation and reporting of curricular information to internal stakeholders (administration, faculty, staff, students) and external stakeholders such as the Association of American Medical Colleges (i.e., the annual AAMC curriculum inventory known as SCOPE) and the Liaison Committee on Medical Education (i.e., data for status reports and accreditation surveys).

  • Required Qualifications (Specialty Factors)

  • Bachelor’s degree.
  • A total of one (1) year (12 months) in education, training and/or work experience in the assessment and/or evaluation of a medical educational program. (Master’s Degree in an area consistent with the duties of the position may be substituted for one (1) year of work experience.)

  • Ability to work independently and exercise judgement to be able to analyze and investigate a variety of confidential and/or sensitive issues and information.
