Summary
The Assistant Coordinator of Donor Stewardship will provide essential administrative and programmatic support to the Office of University Advancement, specifically in donor-funded scholarship stewardship. This role assists in managing scholarship data, supporting communications with students, faculty, and staff, and ensuring the smooth coordination of stewardship processes in collaboration with the Coordinator of Donor Stewardship. This position reports to the Senior Director of Advancement Operations and plays a vital role in maintaining the integrity and quality of the university’s scholarship stewardship work. This is a 25 hours/12 month position.
Essential Duties and Responsibilities
- Support the administration of donor-funded and endowed scholarships.
- Assist in the development of annual stewardship reports and materials, in coordination with Advancement Communications.
- Aid in calculating, compiling, and verifying financial data for donor reports.
- Help audit philanthropy accounts monthly for accuracy and donor intent.
- Work with Financial Aid and campus departments on scholarship awarding processes and thank-you correspondence.
- Maintain records and assist with data entry in Scholarship Universe.
- Communicate with internal departments such as Accounting and Financial Aid for account tracking.
- Assist with meeting coordination and correspondence related to stewardship activities.
- Assist with preparing thank-you letter packets for student recipients, ensuring they are signed and repackaged for mailing to donors.
- Present a positive and professional image of University Advancement and California Baptist University.
Supervisory Responsibilities
This position has no supervisory responsibilities.

- Demonstrated ability and willingness to live and uphold the University’s Christ-centered mission and values.
- Proficient in Excel, Outlook, Word; familiarity with Adobe tools is a plus.
- Strong organizational skills and attention to detail.
- Ability to manage multiple tasks and meet deadlines.
- Strong written and verbal communication skills.
- Demonstrated discretion and ability to handle confidential information.
Education and/or Experience
Associate’s degree or Bachelor’s degree preferred; experience in administrative support, donor relations, or university advancement settings is highly desirable.
