POSITION TITLE: Assistant Course Materials Manager

POSITION TYPE: Permanent, Full Time (35 hours/week), Non-Exempt

DEPARTMENT: Bookstore

REPORTS TO: Course Materials Manager

PRIMARY RESPONSIBILITIES:

The Assistant Course Materials Manager supports the operations of the bookstore's course materials department, ensuring students, faculty, and staff have timely access to required textbooks and digital resources. The position assists with adoption processing, procurement, inventory management, rental programs, and customer service while promoting affordability and operational efficiency. The role requires strong organizational skills, the ability to train and supervise student employees, and a commitment to delivering "Customer Service Excellence" in all interactions.

SPECIFIC RESPONSIBILITIES:

Adoption & Faculty Support

  • Assist in coordinating textbook and course material adoptions from faculty and departments.
  • Provide training and support to faculty on adoption platforms (e.g., Verba, Collect).
  • Communicate with faculty regarding edition changes, availability, pricing, and affordable alternatives (used, rental, digital, inclusive access).
  • Review adoptions against the class schedule and follow up on missing or late submissions.

Course Materials Procurement

  • Support ordering, receiving, pricing, and returning of textbooks and digital content.
  • Prepare and transmit purchase orders to publishers, wholesalers, and vendors.
  • Work with the Course Materials Manager to source cost-effective alternatives and maintain the used book program.
  • Assist in planning and executing student buyback events.

Inventory & Sales Management

  • Monitor inventory levels, perform cycle counts, and reconcile shortages.
  • Help manage course materials databases and systems (e.g., MBS, Verba, POS).
  • Ensure timely labeling, shelving, and merchandising of textbooks.
  • Maintain accurate records for returns, invoices, and adoption compliance.

Customer Service & Store Operations

  • Provide exceptional service to students, faculty, and staff in-store, online, and by phone.
  • Place special orders as requested by faculty or customers.
  • Train and supervise student and seasonal employees in selling techniques, procedures, and service standards.
  • Assist with store opening/closing responsibilities as assigned.
  • Maintain a clean, organized, and efficient course materials area.

Reporting & Communication

  • Assist in preparing sales reports, adoption statistics, and inventory data.
  • Contribute to social media and promotional activities for the course materials department.
  • Support planning and execution of rush periods and special projects.

Compliance & Policies

  • Follow all MCC and MCC Bookstore policies and procedures.
  • Ensure compliance with health, safety, and accessibility standards.

Other Duties

  • Perform additional responsibilities as assigned by the Course Materials Manager or Bookstore Manager.

REQUIRED QUALIFICATIONS:

  • Associate's degree or equivalent experience in retail, business, education, or related field.
  • Minimum of one year of retail, course materials, or customer service experience.
  • Proficiency with Microsoft Office; familiarity with POS and textbook management systems.
  • Strong organizational skills with attention to detail.
  • Excellent interpersonal and communication skills; customer-focused approach.
  • Ability to work independently, multitask, and adapt in a fast-paced environment.
  • Ability to lift up to 40 lbs and stand for extended periods.
  • Availability to work evenings and weekends during peak periods (e.g., semester start, buyback).

PREFERRED QUALIFICATIONS:

  • Bachelor's degree.
  • Experience in a college bookstore or academic retail setting.
  • Knowledge of textbook adoption processes and inclusive access/digital models.
  • Experience supervising students or temporary staff.
  • Familiarity with inventory management and reporting systems (e.g., MBS, Verba).
