Job Summary
The Assistant Director of Alumni Engagement reports to the Executive Director of Alumni Engagement and Special Events and is responsible for alumni programming and the success of the alumni chapters and affinity groups. This position is responsible for implementing/coordinating new and existing alumni events and programming that will further alumni engagement. Primary responsibilities include the Alumni Awards, career and mentorship programs, reunion activities, affinity chapters and support of all University Advancement events and an active volunteer base. The incumbent will collaborate closely with the other Alumni Relations staff and the Office of Career Development in implementing these projects.
PRINCIPAL DUTIES
- Under the direction of the Executive Director of Alumni Engagement and Special Events and the Alumni Awards Committee, initiate, implement and manage the Alumni Award nomination process, vote, recipient notifications and event details.
- Under the direction of the Executive Director of Alumni Engagement and Special Events and the Clubs & Chapter Committee, manage all alumni chapters and affinity groups and report back to the C+C Committee and Alumni Board of Governors (BOG).
- Assist in the development and design of printed materials and messaging for alumni.
- Coordinate and oversee functions related to alumni mailings (i.e., mail houses, printing, design, delivery of materials, etc.).
- Coordinate and organize alumni and students to create programs that educate and involve students with alumni (and alumni with students) to foster a better understanding of the lifelong commitment of alumni to Fairleigh Dickinson University.
- Work with the Executive Director to develop regional alumni Ambassadors in FL, NY, Philly, DC and TX.
- Assist in the design and implementation of a systematic method of updating alumni records, i.e., e-mail addresses, change of address, personal data, business information, recent contacts and volunteer activity.
- Working with the Director of University Advancement Operations update the alumni web page to include all alumni events, initiatives, benefits.
- Arrange and coordinate special events for alumni, (e.g., FDU Society, Homecoming, Young Alumni, Black Alumni Chapter, Pharmacy Chapter, Hospitality Chapter and D1 and D3 alumni events around men’s and women’s basketball games).
- Work with alumni affinity groups through regional receptions and programs, and chapters through program based special events. This includes identifying regions for alumni cultivation, planning regional events with volunteers.
- Work directly with the Clubs and Chapters committee of the Alumni Board of Governors.
- Work with the Parents Council to develop and implement new programs and events for parents.
- Work with staff members to ensure success with scholarship dinner, FDU Forward and other Advancement events.
- Manage database of alumni volunteers and assist Executive Director with identifying strong volunteers for consideration as future board members, alumni chapter leaders, mentors, etc.
- Oversee all alumni gift orders, inventory and storage.
- Perform other work-related duties as assigned.
Required Qualifications
- Bachelor’s degree required in a related field. Equivalent related experience may be considered in lieu of degree.
- Strong interpersonal, organizational and communication skills as well as the ability to meet deadlines and achieve ambitious goals.
- Excellent writing skills and oral communication skills.
- Knowledge of direct mail, telemarketing and volunteer management.
- Computer proficiency with word processing, spreadsheet and data management applications. Knowledge of Microsoft Office Word and Excel preferred. Knowledge of Datatel Benefactor a plus.
- A valid driver’s license and accessibility to transportation.
- An understanding of development and a willingness to travel and work evenings and weekends as required.
