Assistant Director of Event Planning
Department:
Event & Conference Services is UMBC’s full-service event planning support team, and a one-stop-shop for scheduling event spaces and resources on the UMBC campus. We are dedicated to delivering high-quality event services and professional customer service to our clients.
Position Overview:
The Assistant Director of Event Planning oversees the day-to-day operations of Event & Conference Services (ECS) scheduling and advising functions. These duties include supervision of event advisors, managing non-academic space scheduling at UMBC, and managing relevant processes for successful events.

Telework:
A hybrid telework schedule may be available.
Responsibilities:
- Oversight and coordination of large-scale event calendar, and processing of all non-academic space reservations
- Manage event information workflow to service providers
- Provide and ensure excellent customer service for all users of ECS services
- Coordinating campus services for facility rentals
- Provides direct supervision to five, full-time staff, including three exempt Event Coordinators and two non-exempt Event Schedulers
- Oversees and enforces procedures, guidelines, and expectations related to information systems and workflow (e.g. 25Live, Basecamp, Box, DocuSign, etc.)
- Facilitates weekly meetings related to event advising, follow-up, and execution
- Developing and reporting monthly/annual metrics related to facility usage, requests, space utilization, etc.
Required Minimum Qualifications:
- Bachelor's degree
- Three years of experience in event management or hospitality.
- Demonstrated commitment to meeting the needs of diverse populations and organizations; ability to interact effectively with broad campus constituents and community partners.
- Strong verbal, written and interpersonal communication skills.
- Excellent organizational and time management abilities.
- Impeccable customer service values.
- Comfort with a high-paced dynamic work environment; and strong team player mentality required.
Preferred Qualifications:
- Bachelor's degree in event management, hospitality, marketing, business management or a closely related field.
- Experience in event advising or event planning in a university setting is preferable.
- Experience with 25Live scheduling software, and Google Suite strongly preferred.
