Job Summary

The Assistant Director of Events and Auxiliary Services at Georgia Southwestern State University plays a key role in supporting the operational, financial, and strategic management of campus auxiliary enterprises. This position helps lead services that enhance student life and campus engagement, including dining services, bookstore operations, vending, mail services, and event/conference operations. The Assistant Director ensures these high-quality services align with the university's mission and contribute positively to the student experience and generate auxiliary revenue.

This individual plays a critical role in enhancing campus life, supporting institutional goals, and fostering partnerships with internal and external stakeholders.

Responsibilities

  • Auxiliary Services and Events (90%)
    • Assist in overseeing daily operations of all auxiliary units to ensure efficiency, customer satisfaction, and compliance with institutional policies.
    • Manage the daily operations of the university's event and conference services, including scheduling, planning, logistics, and execution.
    • Support contract management for outsourced vendors (e.g., food services, bookstore, vending), including monitoring performance, resolving issues, and ensuring adherence to service agreements.
    • Collaborate with campus stakeholders, student organizations, and external clients to coordinate services, facility use, and events ranging from academic ceremonies and student activities to conferences and summer programs.
    • Serve as liaison for internal and external event clients, ensuring exceptional customer service and adherence to university policies.
    • Oversee the reservation system, ensuring accurate scheduling and billing.
    • Work closely with campus partners (e.g., Facilities, Public Safety, IT, Student Affairs, Dining Services) to support collaborative programs and services and ensure seamless event execution.
    • Assist with marketing and outreach for conference and event services to increase campus and community engagement.
    • Support sustainability and innovation initiatives across auxiliary services.
    • Develop and enforce departmental policies and procedures to streamline operations, enhance services, improve efficiency, and mitigate risk.
    • Monitor budgets, generate event-related financial reports, and support revenue-generating initiatives.
    • Serve on university committees related to events, emergency planning, or space management as needed.
    • Support the broader auxiliary services portfolio when needed and act on behalf of the Director of Auxiliary Services during their absence.
  • Performs other duties as assigned. (10%)

Required Qualifications

  • Knowledge and level of competency commonly associated with the completion of a bachelor's degree in Event Management, Hospitality Management, Business Administration, Higher Education Administration, or a related field.
  • 2 or more years of experience in auxiliary services, event or conference planning, higher education administration, or a related field.
  • Experience supervising staff, vendor management and managing multiple events simultaneously.

  • Ability to problem-solve, manage multiple projects and meet deadlines in a fast-paced, high-pressure environment.
  • Proficient with event management software and Microsoft Office Suite.
  • Strong attention to detail and commitment to customer service, student success and continuous improvement.
  • Familiarity with university operations, student services, auxiliary enterprise models, risk management, space utilization, and ADA compliance in event settings.
  • Knowledge of State of Georgia, University System of Georgia, and GSW policies and procedures.
