Description
The Assistant Director of Experiential Education supports the mission of the Hampton University School of Pharmacy by assisting in the coordination, development, and administration of the Introductory and Advanced Pharmacy Practice Experiences (IPPE and APPE). This role ensures smooth communication between students, preceptors, and experiential sites while maintaining compliance with accreditation standards and school policies. The Assistant Director works collaboratively with the Director of Experiential Education to provide quality learning experiences and promote continuous quality improvement.
Examples of Duties
Preceptor Support & Training
- Coordinate annual preceptor orientation and ongoing training.
- Track training completion and ensure preceptors are equipped with up-to-date resources.
- Maintain an accurate database of active preceptors and their credentials.
Student Scheduling & Communication
- Communicate experiential schedules and updates to students and preceptors.
- Resolve scheduling conflicts and rotation placement concerns.
- Manage the rotation calendar and ensure accuracy across systems.
Compliance & Readiness Monitoring
- Maintain up-to-date records of student compliance requirements, including immunizations, background checks, CPR, HIPAA, and bloodborne pathogens training.
- Organize and track participation in CPR and bloodborne pathogen training sessions.
- Assign and monitor student completion of core readiness modules prior to rotations.
Communication & Counseling
- Send timely reminders and updates regarding surveys, evaluations, and rotation logistics.
- Provide counseling and support for students encountering challenges during experiential placements.
- Coordinate collection and review of student and preceptor evaluations.
Site Visits & Site Development
- Conduct site visits independently and jointly with the Director to assess quality and identify development opportunities.
- Document site visit findings and maintain records of preceptor feedback and site status.
Affiliation Agreement Management
- Complete and track affiliation agreements following initial negotiation.
- Ensure proper filing and timely renewal of agreements in both digital and physical formats.
Quality Assurance & Reporting
- Analyze survey and evaluation data to assess program effectiveness.
- Assist in the preparation of accreditation documents and internal reports.
- Contribute to initiatives aimed at improving the quantity and quality of experiential sites.
Operational & Administrative Support
- Represent the Office of Experiential Education at meetings and events as needed.
- Support site recruitment, preceptor engagement, and special projects.
- Assist in preparing operational materials and managing program logistics.
Typical Qualifications
- Master’s degree or MBA preferred.
- Prefer experience in academia or working in an experiential education office.
- Excellent organizational, communication, and interpersonal skills.
- Proficiency in Microsoft Office and data/schedule management tools.
- Strongly prefer someone who is comfortable with technology and can quickly learn platforms such as CORE ELMS.
