alignment with institutional and departmental goals. The Assistant Director supervises assigned staff and manages operational functions, projects, and faculty-facing processes as delegated.
Essential Job Functions and Responsibilities
- Serve as a key point of contact for faculty regarding support services, policies, and procedures, escalating complex issues to the Director as appropriate.
- Coordinate faculty onboarding and transitions, including office setup for new hires, faculty visitors, and office reassignments following departures or retirements under the supervision of the Director
- Assist in managing faculty support needs by coordinating and distributing work assignments to department staff related to curricular and co-curricular matters, course materials, class notices, midterms, examinations, and other faculty requests.
- Assist with faculty hiring processes, including coordinating logistics for candidate interviews and campus visits, maintaining candidate materials, and supporting voting meetings in collaboration with the Director, Committee Chairs, and Dean's Office.
- Address faculty questions and concerns through meetings and ongoing communication, referring policy or strategic matters to the Director as appropriate.
- Manage faculty webpage updates and content maintenance in Webgarage and related platforms.
- Assist with managing professional memberships and affiliations, including ABA group memberships and Florida Bar faculty affiliate processes.
- Participate in New Faculty and Adjunct Training events by providing departmental orientation and operational guidance, including exam and assessment processes.
- Assist with planning and coordinating large-scale faculty events, conferences, and symposia, including vendor coordination, travel arrangements, catering, and partnerships with local hotels.
- Support the administration of midterm and final exam preparation processes in coordination with the Director, Registrar and Associate Dean for Academic Affairs, including Examplify assessments, quality checks, and timely delivery of materials.
- Supervise staff responsibilities related to student employment hiring processes for faculty research assistants and teaching assistants, as assigned.
- Support staff training and professional development initiatives within the department.
- Coordinate faculty travel requests and process expenses related to travel, memberships, and bar dues in collaboration with the Director, Associate Dean for Academic Affairs, and Business Office.
- Support the planning and administration of monthly faculty meetings by preparing notices, distributing agendas and materials, maintaining meeting records, and storing minutes under the supervision of the Director.
- Assist with special projects and conference-related tasks.
- Assist with office supply management and operational purchasing for faculty and the department.
