Job Description Summary:

In supervising the Student Accounts Representative staff, and Reconciliations and Loan Manager Position, the Assistant Director-Operations will serve a crucial role within the Office of Student Accounts in monitoring and managing the customer service experience, and reviewing for and identifying problems or concerning areas in order to correct them as soon as possible. This position will manage the day-to-day operations of the office, including staff scheduling, and will be responsible for maintaining cashiering policies. This position will also maintain control and compliance with the university’s tuition remission policy in applying benefits to accounts, monitoring for out-of-policy applications, and performing reconciliations with Payroll.

Minimum Qualifications:

  • Bachelor’s Degree

Preferred Qualifications:

  • 2 or more years of relevant experience in a similar capacity.

Specific Duties:

  • In supervising Student Accounts Representative positions and Reconciliation and Loan Manager, monitors and observes for additional training needed and suggestions for improvement in the level of customer service offered by the Office of Student Accounts. Coaches and trains staff in order to continually improve the customer service experience. Monitors for irregularities and helps identify potential areas of concern. Works with Director of Student Accounts and/or Systems Specialist to research, address and solve. Percentage of Time: 20%
  • Manages day-to-day operations of the Office of Student Accounts, including scheduling customer service shifts, lunches and performing and reviewing daily deposits, end-of-day reconciliations and settlements. Analyzes customer service and flow data to ensure adequate staffing for both peak and non-peak times of the year. Ensures cash handling and cashiering policies that meet Federal state and university requirements (such as credit card terminal and currency transaction reporting) are both set and adhered to. Provides training and updates to both Student Accounts staff, other departments within the university as needed. Assists to a higher degree with customer service needs during peak traffic teams. Percentage of Time: 25%
  • Manages the application of tuition remission and exchange process. Records payments onto students’ accounts and reconciles payment applied to charges added on an on-going basis to ensure that benefits are not over-awarded. Performs monthly reconciliation with the Payroll Office. Percentage of Time: 10%
  • Assists other members of Student Accounts Management Team in the approval of outgoing student and third-party refunds. Reconciles check refund data between the Office of Student Accounts and the Office of Accounts Payable. Percentage of Time: 10%
  • Disseminate Financial Aid information to incoming and returning students. This includes providing information on various grant and loan programs as well as counseling students on debt management, repayment obligations and how to finance their education. Calculate amount due at registration. Calculation includes review of pending Financial Aid to determine the appropriate down payment and assist students with the appropriate payment plan as dictated by University Policy. Calculate refunds to students and prepare the appropriate refund requests. Requires knowledge of Title IV, state, and institutional policies governing disbursement rules and refunds. Advise students regarding leave of absence policies, decisions, and the financial ramifications of a withdrawal. Percentage of Time: 10%
  • Provides feedback and observations to the Director of Student Accounts in biweekly meetings, and to the full Student Accounts Management Team and Associate Vice President of Operations in weekly meetings. Assists in decision making and implementation for both problem-resolution and opportunities. Percentage of Time: 10%
  • Serves as the liaison and coordinates services between the Office of Student Accounts and third-party vendors. Percentage of Time: 5%
  • Participates in student orientations, informational meetings and training sessions. Some evening and weekend hours are required. Represents the Office of Student Accounts as a speaker and provides important information about payment options, financial counseling services, important dates, refunds and book authorizations. Percentage of Time: 5%
  • Other duties as assigned by supervisor(s). Percentage of Time: 5%

Salary Range

Maximum: $76,478.63
Minimum: $76,478.63
