Assistant Graduation Coordinator (SSPC I)

Key responsibilities include:

• Assist with graduation-related processes, including course substitution requests, graduation file creation, degree conferrals, and the review of student records to ensure completion of program requirements.
• Coordinate diploma services, including diploma orders, reprints, and special printing requests. Manage credential reporting processes and support diploma production and distribution activities.
• Assist with outreach and engagement activities, including Graduation Fairs, Dual Credit Information Sessions, classroom visits, Grad Week, and other graduation-related events. Contribute creative ideas to enhance graduate recognition and engagement throughout the year. Develop and maintain graduation materials to support these initiatives.
• Serve as a member of the Graduation Committee and assist with planning, coordination, and execution of commencement-related activities. Attend and support the graduation ceremony and related events as needed.
• Provide front-line customer service support within the Registrar's Office by assisting students, responding to inquiries, and serving as backup support for graduation services during peak periods.
• Assist students with enrollment-related questions and processes while maintaining accurate records and ensuring compliance with Registrar's Office policies and procedures.
• Identify opportunities for process improvements, participate in professional development activities, and serve on institutional committees as appropriate. Perform other duties as assigned.

Minimum and Additional Requirements

This position requires a bachelor's degree.

Preferred Qualifications

• Experience in a registrar, enrollment management, student services, academic records, or related higher education environment.
• Experience coordinating or supporting graduation, commencement, degree audit, records management, or student information processes.
• Ability to contribute creative ideas and assist with activities that enhance graduate outreach, recognition, and engagement.
• Knowledge of academic records, degree requirements, graduation processes, and Registrar's Office policies and procedures.
• Experience using student information systems and document management systems, including Colleague, Etrieve, Microsoft Office, or similar applications.
• Excellent written and verbal communication skills with strong customer service and interpersonal abilities.
• Strong organizational and time management skills with the ability to prioritize multiple responsibilities and meet deadlines.
• Ability to work independently, exercise sound judgment, maintain confidentiality, and collaborate effectively in a team environment.
• Strong attention to detail and a commitment to accuracy in data entry, recordkeeping, and student records management.

Additional Comments

Must be available to work the Graduation Ceremony and assist with all graduation-related events, including some evenings.
