Assistant Manager (Events & Conferences)
Job Description
- Client Consultation
- Engage with stakeholders to understand their event objectives and specific requirements.
- Provide professional advice on event formats, logistics, and best practices.
- Event Conceptualisation
- Develop creative event concepts tailored to client needs (e.g. gala dinners, academic conferences, product launches).
- Prepare event proposals and budgets for client approval.
- Event Planning and Conference Organising
- Organise and manage academic and professional conferences, including programme development, speaker coordination, and abstract management.
- Manage event timelines, schedules, and deliverables.
- Coordinate logistics, venue bookings, catering, AV requirements, and vendor management.
- Ensure compliance with NUS policies and safety standards.
- Produce and maintain event and conference websites to support information dissemination and registration.
- Prepare profit and loss (P&L) statements for each event.
- Set up and manage payment and registration systems for participants.
- Event Organisation and Execution
- Oversee the registration process for participants (e.g. conferences, career fairs).
- Supervise on-site event setup, run event day operations, and troubleshoot issues.
- Manage post-event activities, including feedback collection, reporting, and documentation.
- Stakeholder Management
- Maintain positive relationships with clients, vendors, and internal teams.
- Communicate effectively to ensure alignment and satisfaction.
Qualifications
- Tertiary education in marketing/event management/hospitality and other related disciplines.
- 4 to 7 years of hands-on experience in the events industry with account servicing track records. Candidates with less experience than required are welcome.
- Meticulous, excellent coordination and organization skills, with a customer service mindset.
- Able to handle multiple projects within tight deadlines, and work independently as well as in a team.
- Good understanding of the B2B event management industry.
- Has a strong network of suppliers for event needs.
- Experience in events registration via IT Systems will be an advantage.
- Proficient in programs such as Adobe Illustrator, AutoCAD for event layout planning and producing in-house publicity materials.
- Be able to work occasionally on weekends and after office hours on weekdays to run events.
- Candidates shortlisted for an interview will be required to make a visual presentation of work experience and events accomplished.
