Assistant Manager/ Manager

Job Description

Responsible in for general management and administration of the Research Supply Store in the Central Procurement Unit, ensuring efficient inventory management, excellent customer service, and smooth business performance. This role requires leadership, organizational skills, and the ability to optimize processes to meet both financial and operational goals. Scope includes but not limited to the following

  • Oversee the daily operations of the Supply Store including front count delivery and inventories management.
  • Administer and manage the Inventory Management and Self-Checkout System
  • Prepare Standard Operating Procedures and instructional workflows of the supply store,
  • Monitor stock levels through data analytics, Coordinate with suppliers and vendors to ensure timely deliveries. Implement effective inventory control to reduce waste.
  • Oversee the charging and billing of inventories.
  • Conduct procurement of goods and services for Supply Store operational needs. Ensure compliance with related policies such as procurement policy, safety and regulatory requirements.
  • Perform rotational shift front counter duties to receive deliveries and handle enquiries.
  • Process delivery orders/invoice of deliveries and ensure all documentation is submitted timely to provide efficient payment to suppliers. Coordinate with suppliers and finance department on invoice matters.
  • Provide guidance on supply store matters and train staff where applicable.
  • Perform other duties incidental to the work described therein or as assigned by the supervisor.

Qualifications

  • Prior work experience in a research/academic environment with experience and proficiency in procurement, inventory management systems and point-of-sale software would be an advantage.
  • Meticulous, well-organized and able to multi-task.
  • Have good interpersonal skills and able to work well in teams.
  • Proficient in general software applications that facilitate work operations such as Microsoft Office programmes.
