Job Description

Job Summary

Assistant Director: The Assistant Director supports the administration and delivery of scholarship programs by managing operations, supervising staff, and ensuring compliance. This position acts as liaison to academic departments and assists in maintaining scholarship management systems. The Assistant Director oversees specific scholarship programs and operational processes. This position collaborates with Financial Aid, Admissions, Advancement, Colleges and Departments. The Assistant Director gathers and reports on scholarship data for leadership.

Associate Director: The Associate Director provides strategic leadership for university-wide scholarship programs. This position oversees operations, collaborates with academic units, and ensures use of scholarship systems and donor funds. The Associate Director manages multiple scholarship portfolios and staff and reports to the Director of Scholarships. This position leads cross-functional initiatives and serves as primary liaison to colleges, departments, and athletics.

Core Responsibilities

Assistant Director:

  1. Supervises and hires professional and student staff members to include performance management and evaluation.
  2. Ensures compliance with federal, state, and institutional regulations.
  3. Maintains and updates scholarship management software (e.g. BlackBaud Award Management, Salesforce workflows).
  4. Serves as liaison to academic departments, colleges, and athletics to coordinate scholarship criteria, nominations, and fund utilization.
  5. Manages day-to-day operations, prioritization and division of work for team members.
  6. Assists with donor stewardship and reporting.
  7. Develops outreach materials and promotes scholarship opportunities.
  8. Provides training and support to faculty/staff using scholarship systems.
  9. Attends conferences, workshops and performs other duties as assigned.
  10. Serves as backup for student paperwork processing within financial aid and scholarships.
  11. Attends regional, state, and national conferences as necessary.
  12. Serves on various university committees.
  13. Participates in financial aid outreach and recruitment events that involve Strategic Enrollment.
  14. Serves as manager on duty.

Associate Director:

  1. Develops and implements scholarship policies and procedures.
  2. Supervises and hires professional and student staff members to include performance management and evaluation.
  3. Leads configuration, maintenance, and optimization of scholarship management software.
  4. Prepares and analyzes scholarship data and presents to faculty, college leadership and athletics to ensure alignment with academic and enrollment goals.
  5. Develops, implements and maintains policies and procedures for assigned areas of responsibility.
  6. Ensures compliance with all applicable regulations.
  7. Coordinates with Advancement for donor stewardship and fund reporting.
  8. Represents Director of Scholarships in their absence and serves on university committees.
  9. Researches best practices for scholarship delivery and implements as necessary.
  10. Serves as manager on duties for financial aid and scholarships and performs other duties as assigned.
  11. Attends regional, state, and national conferences as necessary.
  12. Serves on committees throughout campus.
  13. Attends donor/recipient events.

Required Qualifications

Assistant Director: Bachelor's degree from an accredited institution. Three (3) years of financial aid, scholarships, or student services. Experience with financial aid and/or scholarship software and systems. This position requires the ability to maintain the security and integrity of UT San Antonio and its infrastructure.

Associate Director: Bachelor's degree from an accredited institution. Five (5) years progressive experience in scholarships or financial aid. Demonstrated leadership and supervisory experience. This position requires the ability to maintain the security and integrity of UT San Antonio and its infrastructure.

Preferred Qualifications

Assistant Director: Master's degree from an accredited institution. NASFAA credentials or FAAC certification. Supervisory experience and technical troubleshooting skills. Experience working with faculty and academic departments.

Associate Director: Master's degree from an accredited institution. NASFAA credentials or FAAC certification. Experience working with faculty and academic departments. Familiarity with CRM systems and data integration. Experience managing scholarship software systems.

Knowledge, Skills, and Abilities

Assistant Director: Working knowledge of financial aid regulations (Title IV, NCAA, FERPA, FTI). Proficiency in scholarship management platforms and student information systems. Strong communication and relationship-building skills. Data analysis and reporting proficiency. Ability to troubleshoot and maintain scholarship software configurations. Organizational and time management skills.

Associate Director: Advanced knowledge of financial aid and scholarship regulations. Leadership and team building skills. Technical proficiency in scholarship platforms and student information systems. Strong collaboration and stakeholder engagement abilities. Budget management and financial analysis capabilities. Data analysis and reporting proficiency.

Additional Information

Position will be filled as Assistant or Associate Director based on finalist qualifications and department need. UTSA is a tobacco free campus. This is a security sensitive position. Employment is contingent upon a successful background check. Applicants selected must be able to show proof of eligibility to work in the United States by time of hire. Valid driver's license and Motor Vehicle Record (MVR) as applicable.

Working Conditions: Office environment. Ability to travel to and from meetings, training sessions, or other business-related events. Occasional after-hours and weekend work or overtime may be required.

Physical Demands: Sedentary work; sitting most of the time. Jobs are sedentary if walking and standing are required, only occasionally. Exerts up to 10 lbs. of force occasionally. This position will be primarily located on campus. Travel and parking expenses are the employee's responsibility.
