Assistant Provost and University Registrar

Job Summary

The University of North Georgia is currently accepting applications for an Assistant Provost and University Registrar. Reporting to the Associate Provost for Undergraduate Programs, the Assistant Provost and University Registrar leads a team of student-focused, detail-oriented staff responsible for all aspects of the University's student academic record-keeping systems and course registration processes. The Assistant Provost and University Registrar directs the enrollment services, archival, and certification functions of the Registrar's Office. Maintains records, records access, and verifies students' academic records to the university community and other authorized requestors within state and federal requirements, university policy, and professional guidelines. The Assistant Provost directs the daily activities of the Registrar's Office in oversight of all functions and supervises staff responsible for curriculum, graduation audits, student records, student registration, course scheduling, and certification of student athletes. In addition, the Assistant Provost chairs academic appeals and the university's academic calendar committees. All activities under the supervision of the AP and University Registrar will comply with best practices and regulations outlined by AACRAO, FERPA, the University System of Georgia, and UNG policies.

Responsibilities

  • Records, Transcripts, and Enrollment Verification:
    • Maintain integrity of student academic records and the data that support them; provide access to authorized users; ensure data collection and compliance reporting is completed in a timely manner.
    • Issue transcripts and verify student enrollment as requested.
    • Prepare for the end of term processing with staff by sending reminders to faculty for final grading and last date of attendance documentation.
    • Supervise the preparation of Banner and Degreeworks scripts, staff assisting in CPOS audits, and end of term processing.
    • During end of term processing, supervise staff following checklists and running processes to roll grades, check repeats, check for errors, update students' academic standing and notify students on probation and suspension.
    • Support Associate Registrars with degree audits, degree postings, and diploma printing after each term.
    • Assist instructors with issues submitting grades and other student records.
  • Registration and Scheduling:
    • Supervise registration processes including priority registration, orientation, and late registration.
    • Supervise the development of registration guides used by the campus community for add, drop, and withdrawal deadlines in conjunction with Associate Registrars and other Academic Affairs units.
    • Provide support and assistance to the scheduling process throughout the year.
    • Support Registrar staff engaged in strategic scheduling initiatives led by Academic Affairs.
  • Curriculum Management:
    • Represents the Office of the Registrar in curriculum, planning, and development meetings with Academic Affairs and other key offices.
    • Provide leadership in changes to course types, registration processes, and scheduling processes to improve course offerings and students' abilities to register for classes.
  • Academic Appeals & Calendar Committee:
    • Chair academic appeals committee and Academic Affairs calendar committee; develop, publish, and maintain a five-year academic calendar.
    • Update procedures, documents, forms, and instructions prior to the end of term in preparation for committee meetings.
    • Supervise maintenance of forms and processes to help students submit appeals in a timely manner and have an opportunity to meet with the committee.
    • Gather appeal documentation and prepare for committee meetings by posted deadlines.
    • Communicate with students, staff, and campus partners about the appeals process; communicate appeal decisions to students and offices.
  • Graduation:
    • Communicate the application and graduation audit process with prospective graduates in a timely manner; supervise graduation application processes.
    • Assist staff with degree auditing as needed; issue official transcripts when requested and supervise the conferral of degrees to graduates.
  • NCAA Eligibility:
    • Supervise staff assisting Athletics in verifying eligibility of NCAA student athletes.
    • Oversee annual reports due to the NCAA and other entities.
    • Provide reports and supervise script development to improve the monitoring of student athletes for admissions, registration, and compliance with eligibility rules.
  • Supervision and Office duties:
    • Provide leadership for operational, personnel, and policy activities for the Office of the Registrar; provide direct supervision of the Director of Student Information Systems & Operations, two Associate Registrars, and office administrative staff, and indirect supervision to other office personnel.
    • Develop and administer budget supporting a complex staff and operations.
    • Hold staff meetings and leadership team meetings on a regular schedule to track all areas and develop plans for upcoming events and projects.
    • Conduct annual evaluations for direct reports.
    • Oversee all hiring processes for the office.
    • Assist and coordinate training for new hires.
    • Serve on university committees.
    • Take on other projects and special assignments as needed for the Provost's Office.

Knowledge, Skills, and Abilities:

  • Knowledge of Banner student information system, Ellucian products (DegreeWorks), Microsoft suite of products, curriculum management software, and other PC related programs.
  • Knowledge of state and federal compliance requirements, FERPA, NCAA requirements, and National Student Clearinghouse/IPEDs reporting.
  • Strong oral and written communication skills.
  • Excellent interpersonal and teamwork skills.
  • Ability to multi-task, manage workload, maintain accuracy amid interruptions, supervise employees, and meet deadlines.

Required Qualifications

  • Master's degree in Higher Education Administration, Information Systems, or related field required.
  • Minimum of seven years of progressively responsible experience in a higher education setting.
  • Minimum of three years demonstrated supervisory experience.

Preferred Qualifications

  • Terminal degree in Higher Education Administration or related field preferred.
  • Previous experience in a Registrar's Office preferred.
